Assistant to CovX CSO, with primary roles including management of correspondence (e-mails), management of agenda, organization of travel, expense reports, planning and organizing CovX management meetings, minutes for CovX management meetings, organization of special events (project reviews, scientific advisory boards) onsite and off-site, interaction with Executive assistants/Chiefs of Staff of WRD LT members, interaction and assistance for travel to visiting external advisors and Pfizer Executives as needed. 2. Understanding priorities and ensuring that all matters are addressed in order of priority. Ability to change direction quickly, multi-task and handle issues effectively. 3. Proactively identifies issues and using judgment to expeditiously resolve all issues including the most urgent. 4. Handling confidential information with discretion. 5. Screens phone calls and visitors and uses discretion to provide information to callers requiring knowledge of the business unit, as well as company policies, practices, and operations. 6. Managing calendar through Outlook, in alignment with CSO's priorities. Proactively resolving meeting conflicts and diplomatically. 7. Effectively interfaces with other staff and coordinates logistics including meeting agendas, rooms, and preparations. 8. Answering the CSO's phone and determining urgency and diplomatically field caller's requests, providing and obtaining answers. 9. Generating communications on behalf of the CSO. 10. Understanding Pfizer and CovX and how to resolve problems that arise (financial, technology, facilities, mailroom, visitors, consultants, office space). 11. Carrying out administrative functions proficiently and completing quality work on a timely basis with a strong attention to detail. 12. Communicating and working in a team environment, working closely with other colleagues to coordinate workflow. 13. Working closely with the CovX Leadership Team and supporting other Leadership Team members as needed. 14. Completing special projects as assigned. 15. Efficiently managing travel arrangements, scheduling transportation, hotel, car, etc. Preparing detailed itineraries. Maintaining receipts and records. Processing expenses through GCE. 16. Establishes and ensures smooth functioning of general office procedures. Qualifications 1. Candidate should have 7+ years administrative experience supporting a team/group leader or above, and clearly demonstrate the ability to carry out complex administrative functions proficiently and in a timely manner. Prefer bachelor's level degree. 2. Candidate should possess excellent communication skills with an ability to respond with professionalism in verbal as well as written communications. Excellent proofreader. 3. Candidate will have demonstrated the ability and initiative to work without close supervision and handle multiple tasks with frequent tight deadlines, work under pressure, manage priorities and follow up on action items. 4. Candidate should possess excellent judgment as well as the ability to work with confidential documents and information. 5. Candidate should be technologically savvy in Outlook, PowerPoint, Word, Excel, Acrobat, zip files, Ariba, GCE, printers, scanners, faxes, copiers, and conference room connections. 6. Prefer candidate with manuscript preparation experience. 7. Ability to work flexible hours (early AM, evening, overtime) as needed. 8. Candidate will represent the CSO, CovX and Pfizer with a professional demeanor consistent with the CSO's membership on the WRD Leadership Team. 9. Experience in supporting RD executives in the biopharmaceutical industry.
