Description
The business operations associate is responsible for several duties, including vendor contract management, budget management, capitalized project spending, reconciliations, and user access control. The incumbent may also be responsible for additional duties and special projects. Primary Duties: Vendor Contract Management: Track maintenance renewals; Maintain vendor matrix; Understand contractual terms and fee schedules; Research and respond to internal business inquiries; Track and report index vendor assets under management; and Maintain Bank of New York Mellon Service Providers database. Budget Management: Plan, forecast and track monthly Purchased Services and IT expenditures, research variances; Process all invoices and expense reports; Initiate wires arrange check payments and broker, audit and international custody fee payments; Track and research intrabank charges; and Maintain cost code units and approver limits. Capitalized Project Spending: Prepare and coordinate Major Expenditure Requests (MER); Reconcile project spending; and Forecast and track monthly depreciation of assets. Reconciliations: Reconcile trade commission credits monthly; Report commissions by broker monthly and soft dollar services quarterly to Distribution group; and Coordinate payment of vendor invoices in commission program. User Access Control: Facilitate and manage new user set up process; Ensure terminated users are properly disabled and removed from all systems; Maintain Owner/Grantor list; Perform semi-annual user account and authorization reviews; Conduct quarterly consultant reviews; and Conduct annual corporate audit reviews and random horizontal reviews.
Qualifications
Essential Qualifications: BA/BS in accounting or related field, along with 1-3 years of experience; strong analytical and quantitative skills and close attention to detail; exceptional verbal and written communication skills; ability to multi-task, work well individually and as part of a team; and desire to learn about the investment industry and how the business operations group affects the firm as a whole.
