Role Summary Working as the main central service within the New York office, you will provide administrative assistance to a small, rapidly growing team of consultants and researchers. You will support their assignment delivery activities, diary management, record keeping and day-to-day smooth running of the office. Duties include general clerical tasks, office management, telephone communication and general administrative support. Delivery Support - Create and modify documents and produce high quality client presentations and reports as required. - Keep database records up to date with accurate and comprehensive data and information related to your activities. Also support other members of the team to do the same. - Setup and coordinate meetings and telephone/video conferences between clients, candidates and consultants as required. - Work closely with the UK admin team for meetings and travel involving UK and US colleagues. - Support, share and positively engage with those around you. Show willingness to support and assist with administrative tasks. - Provide professional first point of contact for business both on the phone and face to face. - Coordinate arrangements for travel, accommodation and entertainment as required. - Perform general clerical duties, e.g. photocopying, faxing, mailing, and filing. Office Management - Assist in managing office facilities and maintaining a tidy and organised Working hours: 9 AM to 5 PM Skills and Attributes -Bachelor degree -3+ consecutive years of experience - Good working knowledge of all Microsoft Office products. Able to quickly build skills in other applications used by the company as required, e.g. Invenias database system, OrgPlus. - Confident and professional personal, telephone and written communication skills at all levels, including senior executive level. - Pro-active and positive approach, problem solving, professionalism, speed, anticipation, organisation, self-control and discipline. - Attention to detail, tenacious attitude to completing tasks, systematic and accurate record keeping. - Exceptionally organised and able to multi task and work to sudden changes in demand. - Calm and productive when working under pressure and able to meet deadlines. - Strong character with confidence to take control of diaries and use initiative around the office. - Confident working un-supervised. - Demonstrate willingness to learn and develop new skills.
