Case Assistant/Administrative Assistant Position Summary
We are looking for a professional, take charge Case Assistant/Administrative Assistant (CA/AA) to maintain case materials. This position requires responsibility for decision-making and planning. The CA/AA must make decisions and then be prepared to flexibly, skillfully and quickly course-correct. The nature of this work is confidential and requires someone with an extremely high level of intelligence, communication and people skills, and professionalism.
Major Tasks, Duties and Responsibilities
· Organize and prepare case materials (Expert Reports, back-up binders, docs received lists, etc.)
· Proactively handle issues as appropriate, recognizing and/or anticipating problems and taking initiative to suggest improvements.
· Update and maintain onsite storage and offsite storage.
· Create travel arrangements - reservations, itinerary, and details (parking, directions, etc.)
· Administrative tasks – faxing, copying, emailing, document production, distribution, and filing.
· Schedule meetings and prepare conference rooms.
· Handle time entry and expense reports for Experts.
· Handle incoming phone and email inquiries, draft correspondence
· Set up meeting and appointments and perform other duties as assigned.
· Light office-keeping
Qualification Requirements
Key experience and characteristics:
· 2-4 years of related experience.
· Experience in legal services and/or professional services (consulting) a plus.
· Handle multiple assignments and maintaining priorities in an environment with rapidly changing priorities.
· Strong research skills with ability to determine, summarize, and communicate important details.
· Effectively interact with internal and external executives.
· Attention to detail, and ability to follow through on assignments until final results are achieved.
· Strong verbal and written communication skills.
· Advanced MS Word skills, knowledge of Excel and PowerPoint.
· Excellent organizational and project management sills (time management, prioritization, delegation, follow-up, attention to detail, and accuracy.
· Shows a high-level of personal accountability, flexibility, resiliency and self-motivation.
· Be honest and trustworthy, respectful and professional.
· Most possess cultural awareness and sensitivity and demonstrate sound work ethics.
· Flexibility and willingness to work overtime is required.
