The College Board, a national educational organization, is conducting a search for a Catering and Facilities Coordinator who will be resident in our Reston, VA Office.
Position Summary
Responsible for centralized coordination and operation of catering requests for the Reston Office. This position will be responsible for handling full-cycle catering requests and streamlining catering needs in order to effectively manage costs and reduce redundancy of time and efforts spent handling multiple catering orders on a daily basis. Will work closely with administrative staff to ensure catering requests are handled and processed in accordance to budget standards and catering usage policies. This position will so provide back-up assistance to the receptionist and will work closely with the facilities team in handling conference room meeting set-ups. Duties will include, set-up, breakdown and space requests for routine and special meeting events.
Responsibilities
- Coordinates, handles and processes catering requests received via Meeting Planner. This includes communications to meeting owners and administrative points of contact, ordering, receiving, setting up and cleaning up meeting rooms. Responsibilities include planning menus for lunch and breakfast meetings, staying within established budgets and providing variety as needed. Will also assist with menu planning and set-up/break-down for staff outings, parties and receptions.
- Works closely with chosen vendors to maintain and work within established budgets, resolves delivery, quality and other issues as needed. Tracks costs and communicates effectively with other administrative staff, managers and meeting owners.
- Ensures conference rooms, pantries, cafe and other storage areas are properly equipped, kept clean and in good working order, this includes maintaining an adequate inventory of supplies including consumables, such as coffee, teas, paper towels, etc.
- Handles preparations for special events to include setting up meeting rooms and preparing correspondence and employee communications as directed.
- Plans menus with the caterers to ensure meals are varied, attractive and discusses arrangements with meeting owners, makes necessary adjustments before finalizing with vendors.
- Ensures that high standards of service are maintained at all times. Attends to and resolves complaints concerning food and service.
- Is a key member of the facilities team and will assist with setting up, maintaining and restoring conference rooms.
- Covers front desk reception for lunch and as a back-up as needed.
- Performs administrative duties such as maintaining budget logs, keeping records of payments and expenses and works closely with finance staff to identify and as directed by management will follow-through and resolve outstanding invoice/payment issues.
- Will serve as back-up for facilities and Reston based administrative staff, covering general administrative duties to include meeting logistics, supply orders and mailroom duties and other assignments as needed.
- Advises on and submits purchase requests for equipment as related to position responsibilities.
- Performs other tasks as assigned by the Senior Director, Organization Effectiveness, such as reviewing monthly accounting reports for accuracy, and making recommendations on reclassifying department funds.
Qualifications
High school diploma or equivalent, college degree preferred, plus three years of responsible work experience involving customer service. Demonstrated ability to work independently and reliability are a must. Experience working in food services a plus.
