Job Description Reporting to the President of AECOM, the Chief of Staff position requires the acumen to handle complex situations, balance multiple responsibilities and influence key stakeholders. The Chief of Staff will ensure the smooth operation of the Office of the President by planning and/or managing key operational activities, including executive briefings and preparation for key meetings, agenda development and oversight, and event coordination. The Chief of Staff will provide timely advice and updates on key projects to the President and will monitor change management initiatives, project management, and program development on his behalf. He or she will manage administrative staff. The position is based at AECOM's corporate headquarters in downtown Los Angeles and may require some travel. Responsibilities The Chief of Staff will: Work with the President to establish, monitor and update strategic priorities for a defined period (quarterly, fiscal year or rolling 12-months), reassessing status on a regular basis, and adjusting plans as necessary Manage coordination of the President's activities, including calls, meetings, presentations and communications. Oversee and/or develop briefing materials (biographies, presentations, reports, scripts, etc.) for key meetings and other events with internal and external parties including government officials, senior business partners, senior-level in-country AECOM managers, and MA prospects Collaborate with and achieve actionable results through others, build strong and sustainable relationships and interact within all levels of the organization. Establish excellent working relationships with key stakeholders, including the executive team, Board of Directors and other key contacts Understand the structure of the organization to interact with internal partners on behalf of the President; manage the flow of information and contacts in/out of the President's office based on a deep and strategic knowledge of the President's priorities Act as external representative for the President with pre-determined outside parties, such as government officials, business groups and other key constituencies Routinely track, assess and provide information on financial markets as well as geopolitical issues and trends to ensure that the President remains up-to-date on emerging global issues Address operational issues that are not within the Executive Assistant's purview, such as corporate issues and operating guidelines Manage the President's Executive Assistant to ensure:1) seamless delivery of service to the President; 2) optimal use of the President's time and calendar, adjusting the schedule as necessary to maximize the President's ability to achieve planned goals Manage the budget for the Office of the President Rely on extensive experience and judgment to plan and accomplish goals. The Chief of Staff will join the President's direct staff, which also includes a Director of Special Projects and an Executive Assistant. Required Skills Self-starter with strong leadership skills, analytical ability and experience with strategic planning processes Business acumen and ability to communicate and lead in a manner that fosters understanding, teamwork, employee engagement and commitment to results; ability to set priorities and work well with all levels of personnel Strong interpersonal skills Proficient written and oral English language skills; multi-language fluency preferred High level of diplomacy, tact and discretion; sound judgment, ethics and sensitivity to confidentiality Ability to operate and thrive in fast-paced and dynamic environment Proficiency in Microsoft Office tools, such as PowerPoint and Excel Required Experience Previous experience working in a similar capacity for a senior executive of a FORTUNE 500 service organization Undergraduate business degree is required; post-graduate degree in business administration, political science, finance, law, business development or related field strongly preferred Experience in a large, complex and publicly traded global organization and/or government agency Proven experience managing and influencing others effectively in a matrix driven multi-national environment Demonstrated prior change management experience in complex multi-national organizations, developing and implementing significant culture change Demonstrated ability to plan, organize, coordinate, and direct multiple projects and activities with varied deadlines; effective in moving strategic agendas, and politically savvy, ensuring the utmost discretion in all matters Demonstrated resourcefulness in tackling problems with limited direction/guidance
