Description
Under the direction of the General Manager, the Client Service Representative performs a variety of administrative duties including telephone answering, building client relationships, sorting mail, maintaining accurate billing records, monitoring building maintenance needs, providing prospective client's tours, and providing support to General Manager and clients. Assists with sales/marketing of center to generate service revenue. The Client Service Representative reports to the Operations Managers/General Manager.
Duties and Responsibilities
- Telephone Answering for company and clients
- Performs word processing, creates spreadsheets and presentations, other typing/creative projects as requested by the client.
- Builds business relationships with clients that will drive service revenue.
- Assists new clients with orientation and welcome kit.
- Operates binding equipment, fax machine, copier, etc.
- Orders client office supplies.
- Maintains filing systems for company.
- Collect client variable charges and maintain records per billing calendar such as: Postage, Copies, Faxes, Office Keys, Key Cards, Conference Room Usage, and Special Service Requests
- Sort client mail and coordinate package delivery.
- Troubleshoots basic technical issues (software programs, T1 lines, and Telephone etc.) and programs phones.
- Serves as a backup to similar positions within the center. May provide backup assistance to other centers as needed or required.
- Assists with furniture moves as needed/required.
- Ability to communicate effectively and professionally.
- Maintains confidentiality of all clients, employees and visitors.
- Ability to multi-task and adapt to a given situation.
- Demonstrates strong organizational skills, ability to prioritize workload and work efficiently with minimal supervision.
- Skilled in Microsoft Office suite of products, including Word, Excel, PowerPoint and Outlook and the ability to perform mail merges, insert charts and tables, etc.
- Experience with QuickBooks a plus
- Ability to operate office equipment and technology such as computers, printers, scanner support software, telephones, facsimile machines, postage machines and copier.
- Professional attire is required.
Education and Experience Required
- Some college coursework completed
- Minimum of 3 years administrative experience; knowledge of telephone systems, office equipment, and office technology.
- Proficient in communication to include verbal, writing, and presentation skills
- Microsoft Office proficiency
- QuickBooks preferred but not required
- Basic math skills
