CLIENT SERVICES ADMINISTRATOR


THE ROLE :

The « Client Services Administrator » will be responsible for assisting the client operations teams with achieving the group strategies and targets with new business acquisitions.

New Business Take On Support: Assist / support in:
- Coordinating system set up, validation and adherence to take-on processes.
- Liaising with appropriate shared service, compliance, legal, risk and business activity teams.
- Ensuring correct finance parameters are established upon contract signing.
- Completion of internal documentation and required new business risk assessments.
- Completion of request for proposals (RFP's) of new and new existing business.
- Drafting of operating memorandums.

Manage Service Delivery: Assist / support in:
- Dealing with daily client interaction, fielding and routing client requests to appropriate people / teams and oversee issue resolution.
- Managing / supporting in overall service delivery to our clients and service scope creep.
- Ensuring appropriate overall document management (Workflow Initiation).
- Establishing updating client service level proposals (SLP's), both with internal / external parties.

Shared Services Oversight : Assist / support in:
- Coordinating all requests, as applicable to the shared services teams.
- Validating reports/outputs produced by shared services teams.
- Overseeing performance of all shared services internal and/or external service level agreements (SLA's).

Reporting (Internal External) : Assist in the:
- Creation of required general external reports or bespoke client reports.
- Creation of required internal reports for management information purposes.

Customised Operational Activities : Participate by:
- Being involved in internal and external projects, as required.
- Ensuring the appropriate support is provided to the client service team.
- Ensuring all ad-hoc and bespoke client work is undertaken efficiently and in a timely manner.

Billing : Responsible in the:
- Collation of necessary billing data and that the system is set up correctly with this data.
- Capacity of reviewing and authorizing client invoices.
- Management of debtors and ensuring clients are chased as specified by the set payment terms.

Operations Regulatory Control: Assist / support in:
- Performing required ongoing risk assessments.
- Facilitating and resolving internal and external audit findings.
- Performing annual reviews assessments.

Operations Performance : Assist / support in:
- Performing root cause analysis, manage resolution of errors to ensure compliance with corporate standards, produce, monitor KPIs and report cards.
- All relevant internal control testing / assessment.

In addition to the duties listed above, the Client Service Senior Administrator may be requested to perform any other ad hoc duties, tasks or projects as requested by the management.

THE PROFILE :

- A minimum of 3+ years relevant experience in Client Services within the fund industry is required.
- Very good overview and understanding of transfer agency and fund administration services
- Demonstrable experience of managing client entities and subordinates with a proven track record of strong technical and supervisory skills.
- Strong communication skills.
- Fluency in English is mandatory. Any additional European language is an asset.
- Knowledge of Alternative investments (Real Estate/Private Equity) is preferable.
- Sufficient technical expertise and practical experience in the field of client operations and/or fund administration coupled with demonstrable experience of client board participation to command respect from clients and staff.
