Client Services Associate recruitment
GENERAL SUMMARY:
This position is responsible for providing direct support to a team of wealth management professionals responsible for servicing complex and sophisticated ultra high net worth clients. This individual will handle requests from clients and team members, provide telephone support, maintain client information, schedule meetings, assist with client presentations, perform administrative tasks, and manage other activities involved with providing a high level of service to ultra high net worth clients.
ESSENTIAL FUNCTIONS:
- Provide a high level of service to a team of wealth management professionals to support daily requests and needs of clients.
- Ensure company materials, presentations, marketing letters, and client information are updated and current.
- Disseminate notes from Company and/or group teleconferences, team meetings and client meetings. Communicate and track action items.
- Schedule and organize complex activities such as client meetings, travel and group activities for the Trusted Advisors and team members.
- Serve as main contact for coordinating and scheduling pipeline calls, business development officer calls and prepare minutes.
- Schedule travel and client appointments for team members.
- Inventory client assets and assist with the creation and drafting of proposals and client communications (i.e. letters and emails).
- Contact and respond to clients and team member requests for statements, investment performance, cash distributions and performance reports.
- Establish, develop, maintain and update client information, files for the team. Draft complex letters to clients, obtain signatures from clients, and assist with marketing letters and meeting follow up letters.
- Handle confidential, non-routine information and provide details and explanations to clients as needed.
- Ensure all client calls are answered, provided with a high level of service and routed to appropriate team members.
- Provide operational support to the team and work closely with the Operations team on manager contracts and custodial forms. Maintain and record trade uploads in COINS workflow.
- Manage new account process for new and existing clients. Work closely with the Operations team to gather account specific information and data.
- Prepare and bind quarterly performance reports, marketing presentations and other client materials as needed.
- Maintain and update data in CRM and COINS.
- Manage timesheet records and assist with client billing process.
- Organize and prioritize large volumes of client requests and information.
- Provide assist with other team projects as needed.
QUALIFICATIONS/REQUIREMENTS:
- Must have a high level of service orientation, exceptional interpersonal skills and the ability to interact with individuals at all levels of the organization.
- Outstanding verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to manage multiple responsibilities and requests with competing deadlines in a fast paced and high performance work environment.
- Strong technical skills, proficiency with Word, Excel, Outlook and PowerPoint.
EDUCATION/TRAINING/EXPERIENCE:
- Bachelors Degree Required
- Series 65 or successful completion required within 120 days of employment.
- Two to four years experience working in financial or investment services industry, or brokerage. Prior experience supporting financial advisors or brokers is preferred.
