Client Services Coordinator
Responsibilities:
This position is a client service coordination position. The successful candidate will:
*Gather, organize and input client and prospect data into the CRM tool.
* Manags data accuracy and integrity and keeps records current on prospect pipeline status for BD reporting purposes.
* Respond to task requests from planning team members in a timely and accurate manner.
* Prepare various deliverables which directly support client acquisition such as greeting
letters, pitch books, service agreements and compliance materials.
*Prepare and process all documentation related to client implementation and on-going maintenance including account applications, transfer documents and other forms as required.
* Act as the primary liaison with our external business partners, including custodians.
* Respond to daily custodial alerts or other notifications. Troubleshoot, escalate as appropriate, and determine the appropriate action required.
* Maintain the accuracy and integrity of all electronic recordkeeping with these parties.
* Review “last contact” reports with the client service teams to determine those clients
requiring contact and attention.
*Coordinate client “touch points” which reinforce the ongoing sales process including anniversaries, thank you notes, flowers and/or gifts.
* Perform all calendaring functions with both internal teams as well as external prospects, clients and centers of influence.
* Communicates directly with external parties to coordinate times and venues.
* Allocate firm resources (room, technology required) appropriately.
* Manage incoming phone calls; direct callers to most appropriate source for action; use judgment and professionalism to escalate as needed.
* Coordinate all travel arrangements including flight, hotel and meeting reservations.
* Manage member status with external travel vendors; troubleshoots and resolve issues with scheduling.
* Perform all expense reporting associated with business-related travel and submits to Finance for reimbursement or proper accounting.
Education:
A Bachelor’s Degree in Finance, Accounting, Business, Economics or other related discipline and 2+ years of profiessional experience is required. Licenses a plus but not required.
Skills and Requirements:
* 2+ years of general administrative experience required.
*Ability to interact with and provide excellent customer service to high net worth clients.
*Ability to understand client's financial situations and personal circumstances.
* Desire to work in an entry level position with a premier wealth management firm and demonstrate the ability and desire for advancement.
*Must be able to deliver a distinctive and thoughtful experience that is aimed at providing appropriate advice for the client's situations that secures confidence and business
*Excellent interpersonal skills and face-to-face relationship building abilities.
* Strong computer skills that include working with the Microsoft Office suite, CRM and proprietary systems
* Excellent written and verbal communication skills required
* Must be a team player, able to handle ambiguity, anticipate and react to changes quickly (flexible with hours and duties)
