CLINICAL CONTRACT COORDINATOR
Kelly Clinical Research has an immediate need for a Clinical Contracts Coordinator. This is a 6 month contract with a possible extension. Clinical Contracts Coordinator General administrative support of the contracts operations group: Facilitate external communications (email, FedEx), develop and maintain electronic filing of executed contracts, route agreements for approval, meeting planning, support contract analysts with various agreements as required. Primary Role: Responsible for assisting and providing support to the members of the GCMA Contract Operations team. Assists in contract approval routing, external vendor correspondence, electronic documentation management, and meeting coordination. Liaises with members of Clinical and Medical Affairs, Legal, Finance Responsibilities: Provides ongoing administrative assistance: · Greets visitors, answers and directs phone calls to appropriate areas and answers routine inquiries. · Prepares routine and non-routine correspondence, including contract execution, and vendor responses, spreadsheets and presentations · Compiles and analyzes information and reports relevant to department projects · Prepares and keeps track of team meeting agendas, action items and follow up · Completes necessary forms for hardware and software requests, business cards, etc · Coordinates meetings and manages onsite logistics including reserving meeting rooms, audio/visual equipment, catering and other resources as necessary Contract Management Vendor Selection Support: · Maintains contract document management including all necessary forms, filing, archiving of files · Supports general contract development activities through the use of existing templates and guidelines. · Facilitates Request for Proposal (RFP) process with guidance from contracts analysts (meeting planning, document management, overall logistics) Education Experience Requirements: · High School diploma, or equivalent required; Associates or Bachelor degree preferred. · 4-6 years administrative experience in a professional environment, with a minimum of 2 years working in an HR function. · Knowledge of proper English usage, grammar, vocabulary, spelling. Key Skills Competencies: · Intermediate MS Office Skills: o Word: Forms, Mail Merge, Indexes, Tables, advanced formatting o Excel: Forms, Formulas, Functions, Pivot Tables, Graphs o PowerPoint: Slides, Graphics o Project: Build and Maintain timelines o Outlook mail and calendar · Ability to operate general office equipment including copier, fax, scanner · Ability to perform multiple tasks in a fast-paced, team environment · Ability to interact with senior management on a regular basis · Solid verbal and written communication skills · Strong organizational skills, ability to organize and maintain accurate, orderly files and records · Strong attention to detail · Ability to maintain confidentiality · Works within specific guidelines and policies, deferring non-routine matters to supervisor · Ability to hear and speak to employees/management and outside business associates on the phone and in person Complexity Problem Solving: · Strong problem solving capability, solution-oriented · Ability to solve routine department problems or customer issues with general discretion · Ability to assess a problem quickly and determine to what level it should be elevated, directing staff/customers to the correct person(s) · Works within specific guidelines and policies, deferring non-routine matters to supervisors · Able to understand and manage daily work in a highly confidential environment Internal External Contacts: · Internal interaction with Legal, Finance, Clinical and Medical Affairs staff. · External contacts include CROs, laboratories, clinical investigative sites, and others as necessary. ***Candidates must be immediately eligible to work as a W2 contractor for any employer in the U.S. without restriction Kelly Services is an Equal Opportunity Employer.
