Responsibilities
GENERAL SUMMARY / OVERVIEW STATEMENT:
The Program Manager is responsible for the day-to-day operations and fiscal management of the Program for Weight Management (PWM). Working closely with the PWM Clinical Director, PWM Nutrition Director, and Endocrine Division Administrator, the Program Manager ensures efficiency of operation of PWM clinics, provision of high quality patient care, and a high level of customer service. Position supervises PWM Administrative Assistant. Position monitors revenue, inventory, program enrollment, and directs marketing and development activities for the program.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
1. Program Manager is responsible for the day-to-day operations of the Program for Weight Management, supervising the Administrative Assistant and coordinating staffing in support of clinic operations.
2. Utilizes IDX software to prepare weekly schedules of physicians, new patients and return patients.
3. Ensures compliance with PWM policies and procedures, including revision of those policies and procedures as necessary.
4. Monitors cash collections, sales from inventory, inventory purchases, and inventory on hand.
5. Manages and monitors collections of third party patient revenue, including follow-up on insurance denials and close monitoring of patient accounts in self pay status.
6. Prepares weekly deposits for checks and cash received during clinic.
7. Utilizes BICS ADO software to enter patient charges on a weekly basis.
8. Maintains database for patient financial data.
9. Leads marketing activities, including development of strategies and preparation of printed documents.
10. Leads outreach activities supporting program development and expansion.
11. Serves as point of contact and information resource for patients and healthcare providers.
12. Oversees monitoring of patient charts to ensure each has the required information and is in compliance with PWM and BWH policies.
13. Prepares revenue and patient volume reports for periodic program review meetings.
14. Builds and maintains patient research database.
15. Supervises all activities performed by the PWM Administrative Assistant. Prepares formal annual reviews and informal feedback on an as-needed basis.
16. Any other activity as required.

Requirements
QUALIFICATIONS:
1. Master"€™s degree strongly preferred. Bachelor"€™s degree with extensive experience in patient management administration may also be acceptable.
2. Five (5) or more years of clinic management experience with patients in a hospital setting.
3. Two (2) or more years of experience managing personnel
4. Experience structuring and maintaining electronic databases.
5. Two (2) or more years of administrative and research experience preferred.
