Position Information Position Information Working Title Communications Specialist Job Classification Communications II Department Name 06100-Student Affairs Job Type Staff Position Number 0008688 Hiring Range $24,732.00 - $39,576.00 Position Description Provides high-level communications and administrative support in organizing, planning, and managing the daily business operations for the Vice Provost and Dean of Students. In addition, provides assistance with facilitating communications for the Director of Communications and provides administrative support to the Associate Dean and Business Manager. The incumbent represents the Vice Provost and Dean of Students in working with Division of Student Affairs staff, various constituents on the Pittsburgh campus and in the community, and high-ranking administrators at the regional campuses. Areas of responsibility include Executive Communications, Organization, Planning and Supervision. Communication Communication responsibilities include writing, editing, and reviewing communications documents on behalf of the Vice Provost and Dean of Students and Director of Communications; responsible for coordinating the logistics and creating content for various PowerPoint presentations and speeches to audiences such as the Board of Trustees, the Council of Deans, and others; reviews and drafts written recommendations on behalf of the Vice Provost and Dean of Students, including tenure dossiers for submission to the Office of the Provost; assists with the coordination and timely submission of the annual planning document; monitors and manages Student Affairs e-mail accounts, including the Dean of Students e-mail account, and responds accordingly. Administrative responsibilities include fielding telephone calls and processing incoming and outgoing correspondence; drafting and maintaining committee records and minutes of meetings; compiling reports and proposals. Organization Organization duties include organizing the agenda for senior staff meetings, retreats and committee meetings, and generating and distributing accurate minutes of the meetings in a timely fashion. Analyzes and summarizes planning documents of the various schools and regional campuses in a written format for the Vice Provost and Dean of Students. Coordination of the logistics of agendas, meetings, and presentations; includes arranging technical aspects of PowerPoint presentations for all speakers/invitees. Provide assistance with director and/or manager level searches for Student Affairs as well as the annual PIW (Performance Impact Workplace) review process for these positions. Planning Planning responsibilities include coordinating Student Affairs special events and meetings, retreats including New Staff Orientation, Quarterly Divisional Meetings, Senior Staff Retreats, Dean of Students Hours, Visitors and conferences; has budgetary responsibility for special events (projections, and purchasing) and manages the Vice Provost and Dean of Students discretionary account including travel arrangements, and itinerary. Preparing and processing appropriate University paperwork, including Travel Business Expense forms and Disbursement Request forms. Supervision Duties include supervision of the central office support staff and students; ensuring adequate coverage in the central office at all times and maintaining a professional atmosphere. Must be willing to work some evenings and occasional weekends and attend various events.
