Functional Job Title: Compliance Administrative Assistant
Reports to: Chief Compliance Officer, Asia Pacific and Head of Compliance, Australia
Department/ Division: Compliance
Basic Purpose of Job:
To assist the Chief Compliance Officer Asia Pacific and the Australian and Asia Pacific Compliance teams in all administrative matters including diary management, travel arrangements, general filing, typing and general administrative support.
Priorities or Objectives:
- Co-ordinates effective and timely flow of critical information to all relevant parties and follows-up on administrative details to ensure efficient handling of day-to-day matters.
- Provides leadership and acts as a resource on general administrative matters across the Asia Pacific region.
Key Responsibilities / Tasks:
- Schedules and co-ordinates the CCO's time, including appointments and meetings.
- Schedules and co-ordinates large and/or complex meetings – anticipates and makes all necessary arrangements.
- Prepares and types a variety of standard and/or special reports on a daily, weekly, monthly, quarterly or annual basis relating to issues across the region.
- Collects data; performs analyses and summarises data to facilitate interpretation or to highlight key aspects.
- Sorts mail and written information to determine appropriate resolution and distribution.
- Drafts responses for CCO on behalf of the CCO as appropriate.
- Edits and types letters, memos and documents from rough drafts or notes and composes replies as directed.
- Types confidential documents.
- Prepares presentations in the form of written documents, PowerPoint presentation, slides and/or hand-outs.
- Makes photocopies.
- Scans documents.
- Establishes and maintains files and filing systems – both computerised and hard copies – including confidential information.
- Makes multiple travel arrangements and keeps related records.
- Maintains leave records.
- Client reporting.
- Schedules team meeetings, preparation of agendas and minutes.
- Participates in or leads special projects as requested.
- Prepares expense forms.
Job requirements:
- Minimum 5 years secretarial experience.
- Excellent knowledge of secretarial/administrative methods and practices, including good command of English, grammar and spelling.
- Excellent computer skills including all office related products.
- Excellent organisational skills.
- Excellent communication and interpersonal skills.
- Attention to detail.
- Analytical skills.
- Ability to work under pressure.
- Ability to work independently and collaboratively.
- Ability to exercise diplomacy and discretion.
