BASIC FUNCTION

This position will perform administrative support duties of both confidential and general nature for the President – Mark David.  Prepare letters, memorandums and reports from dictation and general direction, requiring individual initiative and responsibility; assist in the analysis of trends and reports.  Requires broad knowledge of company organizational makeup.  Must maintain high integrity and be capable of maintaining strict confidentiality due to the nature of information seen and processed.  Maintain records and files and perform other duties as required and requested.

 

 

SPECIFIC RESPONSIBILITIES

1.       Creates letters, memos and reports for the President – Mark David from dictation and written work, plus composing these as required from general instruction for signature. 

2.       Maintain confidential records and files.

3.       Set up appointment schedules and keep appointment calendars in order.  Process and appropriately route telephone calls, interoffice mail, external correspondence, and electronic mail. 

4.       Schedule international and domestic travel arrangements to include ground and air transportation, hotel accommodations, and event scheduling.

5.       Assemble and submit Expense Reports for the President – Mark David.  Review and approve Expense Reports for staff members reporting to the President – Mark David.

6.       Produce, assemble, and format key documents for meetings. 

7.       Function as the intermediary between the President – Mark David and the staff as well as other company personnel, answering routine questions, setting up appointments, scheduling meetings, etc.

8.       Aid in creating and editing PowerPoint presentations for the President – Mark David. 

9.       Maintain records on approved and pending ACTs (Authorized Corporate Transaction). 

10.   Assist in the tracking process of Maximizing Performance Evaluations and quintile reviews ensuring that deadlines are met on a timely basis. 

11.   Analyze reports and bring trend and variance from objectives to the attention of the President – Mark David.

12.   Assist with special projects and additional responsibilities as assigned by the President – Mark David.
