Corporate Real Estate Admin Services (CREAS) provides a business-enabling and efficient working environment for the offices in Asia Pacific covering Wealth Management, Investment Banking, Global Asset Management and Corporate Centre. It comprises of a number of functional streams incorporating Real Estate, Property Management, Design Projects, Workspace Planning, Travel, Security and Corporate Services.
Role Overview:
Reporting to the Head of Corporate Services, CREAS Singapore, the Corporate Services Manager will be responsible for the set-up and documentation of all service contracts, best practices and management information. He/she will assist in the execution of day-to-day operation of activities and initiatives and attend to clients’ and staff needs across a wide spectrum of functions which will cover the following (but not limited to):
Our ideal candidates should have the following requisites:
- Interact within specific CREAS staff members across the country, business partners and/or outsourced vendors within the local branch, to deliver customized solutions to enhance operational efficiency and resolve issues to create competitive advantage and first in class service delivery to our business clients.
- Review country-level contracts in connection with country CREAS, CREAS SME and Supply Demand Management (SDM) teams
- Provide support to the implementation of projects, global standards or regional initiatives
- Facilitate change management and process improvements across Corporate Services functions and especially with the outsourced vendor team.
- Support the local CREAS team in formulating and preparing executive summaries and management reports to facilitate management decisions
- Lead the bank’s Ecology initiatives
- Overall responsibility for Physical Records Management (PRM) portfolios
Assist to oversee :
- Vendor Management and local sourcing / negotiation
- Purchasing and administration of general office supplies and equipment
- Mailroom and Administrative Services
- Ensure integrity of all physical records and document classifications and to lend guidance to local users on records management standards including the navigation of the PRIS system
- General Printing i.e. Business Cards and Computer Forms
- Maintenance of General Office Equipment and Facilities (Fax Machines, Shredders, Pantry equipment, etc.)
- Manage the custodian role in relation to document archival and retrieval processes
- Manage Artwork/Painting Inventory
- Manage Plant Inventory and Maintenance schedule
- Manage weekly order of pantry supplies
- Corporate Card Administration – American Express Card
- Project Lead / Support - Electronic Ordering System, Room Booking Software, Mailroom Print-room RFP which includes the documentation and approval process in SAP workflow.
- Managing Travel service matters
- Hospitality and Conference services such as Client dining, Client seminar facilities
- Publications Periodicals Administration and Distribution
- Manage and administer Bank's car park requirement
- Scheduling and management of Company cars’ activities
- Liaison with the leasing company on Bank's cars servicing and repair requirements
- Ordering and distribution of seasonal diaries, festive cards and red packets and UBS publications for the Bank
- Administration of Mobile Phones/Blackberry purchase, transfer, cancellation, billing and maintenance
- Data Craft Hospitality Suite – room booking tool
- Project management
- Strong Corporate Services experience with major financial institution
- Prior experience in service management and service oriented environment is much preferred
- Hands-on approach to resolving first level enquiries.
- Good communication skills, and positive client oriented attitude.
