Title: Data Collection and Reporting Coordinator
Program: Housing, Street Outreach Employment Services
Location: Downtown Boston
Reports to: Director of Outreach and Housing
Schedule: Full Time 40 hours Monday-Friday
Summary of Position
Under the supervision of the Director of Outreach and Housing, conducts on-going monitoring of timely data entry by program staff to ensure data quality and accuracy, and has primary responsibility for high quality data collection and reporting. Produces data reports to assist the Director in preparing monthly, quarterly and annual progress reports. Provides orientation to new staff and technical assistance when needed regarding accurate and timely data entry into Social Solutions, Homeless Management Information System (HMIS), ESM, and other mandated reporting programs. On-going maintenance of various program lists, billing information, records and other program data as required. Provide coverage as needed for the Administrative Assistant at the Outreach, Housing, and IMPACT program offices by handling general office duties such as greeting and triaging visitors, answering phone calls, filing and meeting scheduling.
Qualifications:
Basic Knowledge/ Skills
Duties require clear and concise verbal and written communication, organizational skills, high standards of accuracy and attention to detail, and excellent problem solving and time management capabilities. High level of computer proficiency in database systems, including data entry, maintenance, quality assurance and report-writing required. Microsoft Office, including Word, Excel, and Power Point, and other office computer applications required.
Experience with outcome based programming, evaluation, and an ability to analyze data to identify trends and variance from established goals is preferred. Familiarity with homeless or low income populations desired.
Education/Experience
Bachelor’s degree with 1-2 years of data base applications and administrative experience or some college or technical training with 2-4 years of data base applications and administrative experience, preferably in human services, is required. Some training experience is desirable.

Essential Functions
- Assists in monitoring outcomes, participates in program development to ensure achievement of outcomes, and makes recommendations for improvement
- Provides orientation and training to new staff and on-going technical assistance as required for accurate and timely data entry into Social Solutions
- Monitors timely data entry into Social Solutions by program staff to ensure data quality and accuracy
- Assists Workforce Development Director in monitoring of ETO data entry to assure data quality and accuracy
- Prepares various reports for IMPACT staff
- Collects and aggregates data and produces required reports to assist the Director of Outreach and Housing and Workforce Development Director in the preparation of monthly, quarterly and annual progress reports
- Collaborates with hopeFound IS, billing, and fiscal offices
- Handles telephone calls, greets clients and visitors coming into the office as needed, responds to questions, redirects appropriately and follows up on issues when appropriate. Understands confidentiality as appropriate to the information being communicated
- Arranges appointments, meeting spaces, and other logistics for internal and external meetings and special events
- Establishes and maintains accurate and assessable office filing systems.
- Handles general office administrative duties and supply ordering for the office.
