Institutional Banking Markets (IBM) is responsible for the provision of products and services to nearly 3000 major corporate, institutional and government clients. This is achieved through origination, structuring and execution of on and off balance sheet products that are enhanced through the efficient application of taxation, accounting, risk and capital management technologies. Institutional Banking Markets is the primary face to the market for all complex financing and advisory functions for the Bank's corporate and government clients.
Business Management is responsible for coordinating product, support and business management resources to assist IBM achieve operational efficiencies across products and supporting processes.
Role Purpose:
This role will be responsible for working alongside the various teams in IBM to provide high quality efficient and effective MS solution production services, including document and graphic creation, in adherence with the IBM brand guidelines, with a high level of customer service, and in a fast paced, high pressure environment.
The successful candidate will be joining the Pitch team to develop pitch books, interactive pdf's, concept ideas and page layout as we as contribute ideas to enhance processes and guidelines to ensure MS capability is operating at its optimum and to factor in future growth and business needs.
Other key responsibilities include document coordination, proofreading, quality checking and light production tasks in a team-oriented environment, whilst providing support to the senior members of the team.
Key Accountabilities:
- Preparation of PowerPoint presentations, Excel charts, Word Documents, graphics and reports using, creating and/or modifying standard and non-standard templates
- Ensure all requests are prioritised, managed and delivered according to client expectations
- Ensure all presentation and MS template requests are produced in a timely manner, to a high standard and in-line with business objectives
- Ensure all presentation and MS and Adobe template requests are produced in accordance with corporate brand standards and guidelines
- Coaching staff in MS applications in line with brand standards
- Creation of Style sheets within Microsoft application and Adobe
- Setting up master templates, documents and presentations to ensure consistency and efficiencies
- High-standard domestic and international pitch books in-line with industry standards and competitor collateral
- Performs all duties of document coordination, including:
– Managing/controlling master version of document
– Proof reading and quality checking of own and other team member's documents.
– Document finalisation process when required
– Generate graphics/tables using Excel, Word and PowerPoint
- Maintenance of archiving database and file storage
- Assist with other non-standard projects or secondary functions as required. Such as:
– Assist client team with printing, copying and binding of reports;
– Creative projects; and
– Data entry
- Perform roles of other team members in a backup capacity.
- May be required to work overtime to complete projects
- Establish close working relationships with key internal clients across IBM to gain a strong understanding of their clients, products and key needs.
- Maintain a library of pitch documents to be held in a central database for the broader team
- Liaise with external suppliers as required.
Qualifications and Experience Required:
Essential
- A minimum of 5 years advanced MS Office 2010 (PowerPoint, Word and Excel) experience is required
- A minimum of 3 years Desktop Publishing experience working with MS Office and the Adobe Suite as well as an understanding of good design and effective page layout
- A track record of delivery – under pressure and under tight deadlines
- Good working understanding of corporate sign off processes and managing stakeholder engagement on projects
- The ability to drive and multi-task in highly complex environments where occasionally there are competing agendas
- Ability to appropriately assert oneself when expectations are not being met
- Ability to communicate, interact and maintain excellent relationships at all levels across the business
- Excellent written communication skills and attention to detail
- Knowledge of Macro's would be an advantage.
