Director of Administration Job in Boston 02108, Massachusetts US
The Director of Administration will manage the Agency's Central Office, coordinate and manage administrative processes, tools, and communication routines Agency-wide; and provide support to senior management and the Agency's Board of Directors.
Reponsibilities:
- Management of Central Office including, but not limited to: keys security access; any and all office moves; all physical plant issues (e.g., heating, cooling, etc); other items as necessary
- Prepare for and lead Central Office Staff Meetings
- Manage Central Office team-building appreciation events
- Work with Agency Department Heads to Manage Agency Administrative Manual and interface with Employee Handbook
- Coordinate Agency-Wide forms
- Work with Administrative Assistants to drive consistency in administrative processes Agency-wide
- Manage internal Agency communication tools and routines (including via Agency website)
- Support for senior management (schedule sharing; key meeting agendas, notes, attendance; business cards; key count report; etc)
- Coordinate travel arrangements for national conferences attended by Agency staff
- Assist in and coordinate response writing for grants, contracts, etc
- Provide support for Agency’s Continuous Quality Improvement Initiative
- Attend and provide support for various Board and Board Committee meetings
- Streamline Board of Directors processes and information tracking
- Coordinate, author, and distribute quarterly Staff Report to the Board of Directors
- Manage two support positions
- Attend present at Agency meetings at various locations as needed
- Work with VP of Organizational Management Strategy on special projects and other duties as required and assigned
Requirements:
· Master's degree and graduate work strongly preferred
· 10 years of related administrative experience
· Strong interest and commitment to the Agency’s mission is highly desirable
· Highly motivated resourceful self-starter; high level of professional maturity; strong interpersonal skills; superior analytical, problem-solving, coordination, multi-tasking, and project management abilities along with excellent organizational, oral and written communication skills
