JOB SUMMARY OR PURPOSE

 

The Dispatcher is responsible for the safe, efficient and profitable scheduling and dispatching of commodities. This position reports to the Terminal Manager.

 

DUTIES AND RESPONSIBILITIES

 

Safety

 

  1. Insure compliance with all applicable Federal and State regulations.
  2. Insure compliance with all company safety policies and procedures.
  3. Participate in safety inspections at the terminal with the Director of Safety or Terminal Manager.
  4. Communicate with the Director of Safety and Terminal Manager any unsafe practices or sites and document.
  5. Assist the Director of Safety, when feasible, in accident or incident investigation.
  6. Ride with drivers and assess safe performance of job.
  7. Conduct delivery observations to assess safe delivery procedures.

 

Customer Focus

 

  1. Contact customers when appropriate to investigate service levels and discover expectations.
  2. Explore and develop new customer opportunities and communicate progress with the Terminal Manager.
  3. Seek to understand each customers needs based on customer type (keep full, call and demand etc.)
  4. Receive load information from customers by fax, phone and communicate completed load information to customer by whatever method customer dictates, phone, fax or memo.
  5. Schedule and dispatch loads to drivers for delivery to customer or company owned facilities in an efficient manner. Provide drivers with site-specific information.
  6. Insure dispatch is fair and impartially executed.
  7. Dispatch according to company guidelines, to include legal hour of service adherence.
  8. Insure all proper shipping documentation is completed and processed (i.e. bills of lading, delivery tickets, driver logs, fuel reports) 
  9. Make and receive phone calls to and from customers to solicit loads. Insure equipment is being utilized to its maximum capability.
  10. Maintain customer inventories (re. - keep full business) and communicate with the customer if any problems arise. In the event of service interruption, the Director of Marketing and the Director of Operations need to be notified. 

 

Financial

 

  1. Utilize company PO system to purchase and review all invoices for terminal, approve, code and submit to the Terminal Manager.
  2. Insure company’s interests are protected with vendors.
  3. Review appropriate monthly reports with drivers.
  4. Review and suggest driver pay, incentive and benefit improvements.
  5. Review the controllable budget with the Terminal Manager.

 

Operating Excellence

 

  1. Complete trailer inspections as directed by the Terminal Manager.
  2. Inspect and verify that the DVCR is being completed and filed as per 396.11(c)(2) of the FMCSR.
  3. Insure compliance with all company policies and procedures.
  4. Review and suggest changes in any company manuals, (i.e. Dispatch, Driver Manual).
  5. Complete tire inspections as directed by the Terminal Manger.
  6. Insure proper completion and timely submission of all reports to include: Accident/Incident Reports, Tractor Mileage Report, Trailer Hubometer Report, Trend Sheet, Miscellaneous Pay Sheet, Billing Exception Report and all other current and future reports.
  7. Insure proper and timely completion of all driver paperwork, Drop Tickets, Driver Logs, Bills of Lading and all other driver required paperwork.
  8. Insure Training requirements for new drivers is completed in accordance with company policy.
  9. Insure proper completion of pre-employment procedures, to include drug testing, DOT file and personnel file.
  10. Perform other duties as directed by the Terminal Manager.

 

Personnel Development

 

  1. Assist clerical personnel and drivers in achieving their goals.
  2. Direct training needs of the drivers and enroll them in seminars as needed.
  3. Recruit drivers.
  4. Assist in driver retention.
  5. Assess driver morale and develop tactics to improve.   
  6. Assist the Terminal Manager in performing annual driver reviews.

  

 

ACCOUNTABILITIES

 

  1. Represent the company and the trucking industry as a professional.
  2. Handle and accurately complete all necessary paperwork related to the duties and responsibilities defined herein.
  3. Perform all duties in accordance with company policies and procedures, and comply with all Federal, State and local regulations for the safe operations of a common carrier fleet hauling hazardous materials.
  4. Maintain mobile communications ability either through company pager or mobile phone to be available in the event of an emergency.
  5. Maintain control over the drivers, have knowledge of the drivers’ location and activities.

 

 

 

 

JOB SPECIFICATIONS

 

  1. Must possess a valid drivers’ license.
  2. Must be able to read, write, speak and understand the English language sufficiently enough to perform the designated duties of a Dispatcher. Must have the ability to perform simple mathematical calculations with mental ability to read maps, schedules, and road signs and maintain reports.
  3. Must be able to effectively communicate both orally and in writing with company personnel and customers.
  4. Must have a basic knowledge of the trucking industry to include the Federal Motor Carrier Safety Regulations.
  5. Must be able to operate computers, telephones, facsimile machines and other necessary office equipment.
  6. Must have an understanding of human relations and methods of obtaining cooperation and support for company policies.

 

 

PHYSICAL REQUIREMENTS

 

  1. Must be able to sit and remain alert while driving long distances, answering phone calls, attending meetings, completing paperwork, etc.
  2. Must be able to enter and exit tractor cabs for periodic driver audits. Cab floor level is generally from 36 to 66 inches above ground level, with entry and exit achieved with the assistance of various configurations of steps and handholds; also requires occasional bending, twisting, climbing, squatting, crouching and balancing.
  3. Must be able to quickly respond in times of multiple priorities or situations requiring immediate and sound decisions.
  4. The Operations Manager may be subject to irregular work schedules, short notice for emergencies and other stressful and fatigue generating situations.
