Document Control Manager
Location: Mississauga, On L4W4H2
Manager, Document Controller
Primary Objective:
Responsible for all departmental functions, including Quality Control; ensuring all project requirements are met. On larger projects fully responsible for all aspects of project deliverables.
Responsibilities:
Project Technical Responsibilities
- Plan and manage project responsibilities, objectives and project milestones
- Distribute workload on projects.
- Oversee document control staff on projects.
- Responsible for the implementation and management of the systems necessary to facilitate control of project documents
- Develops and maintains system documentation, flow charts and related materials which reflect the ongoing activities of the department as well as document flow
- Responsible for ensuring that all project documents are delivered with quality in a timely fashion
- Integrate all client specifications as required on individual projects
- Interact with IT, clients and engineering groups for set up of electronic systems or projects
- Liaises with department supervisors, project managers and other persons as required
- Responsible for compliance dictated by client regarding maintenance of related documentation.
Planning/Supervisory/Administrative Responsibilities
- Provide document control training to employees to ensure overall understanding and commitment to the document control role
- Perform people management including performance assessments and salary reviews
- Daily on-the-job coaching, mentoring, and training.
- Forecast and adequately plans resources, assigns personnel and tasks within the document control department
- Provide updates to senior management regarding the status of any internal, client, or project issues; resource planning and continuous improvement requirements.
- Review all computer programs and updates for suitability to document control.
- Create and maintain internal departmental procedures.
- Create standards for project documentation procedures
- Provides periodic quality reviews of departmental processes, procedures and standards, identifying areas of improvement, deficiencies, and taking the necessary corrective action to maintain quality
- Responsible for archiving and ensuring that documents are retrievable in a timely manner
- Decision Making
- Exercises considerable judgement and initiative in the management of projects. Fully competent in making strategic decisions and resolving escalated issues.
Qualifications:
- Ten years plus experience in document control or engineering company with exposure to filing structures, EDMS structures, possibly internet based project collaboration systems, relational databases and multiple complex projects.
- Minimum of 5 years supervisory responsibility.
- Strong Business Acumen and understanding of business objectives and strategies.
- Technology level –advanced knowledge of engineering terminology and ability to read and understand drawings and documentation is essential.
- Computer skill level; advanced knowledge of Windows Explorer directory structures, Microsoft Office applications of Word, Excel, and database knowledge is essential (or equivalent). Fully competent in Electronic Document Management Systems (EDMS) and document management work processes.
