PRIMARY FUNCTION
Under general supervision performs a combination of general and skilled clerical functions in the Records Management Section, to provide support in carrying out District and department operations and procedures.
DISTINGUISHING CHARECTERISTICS
Electronic Records Technician performs duties which are of a specialized and semi-complex clerical nature.
NOTE: Keyboard requirement for this position is an approximate standard of 45 words-per-minute.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Prepares and batches documents prior to being scanned.
2. Scans and indexes electronic documents for archival in specialized electronic FileNet database for permanent records including highly confidential documents.
3. Assists with maintaining electronic archive in FileNet database of highly confidential documents.
4. Responds to customer inquiries and/or problems regarding retrieval of records from an electronic database or centralized storage areas.
5. Operates blueprinting and various copiers to reproduce drawings, photographs and other records of various dimensions and quantities.
6. Operates personal computer and appropriate software applications for indexing and maintenance of documents in FileNet.
MARGINAL DUTIES AND RESPONSIBILITIES
1. Staples sets of books, correspondence, and other items using electric stapling machines.
2. Operates photo enlarger and printer.
3. Submits completed printing specification form indicating total labor and material used on job.
4. Performs other duties as assigned.

Education and Experience
Any combination equivalency to graduation from high school with supplemental college courses in record management, on-line computer, personal computers and business, and one year experience related to document management office activities.
Knowledge of
Modern office methods and procedures; personal computer and appropriate business software applications including Word and Excel; computerized record and filing systems (FileNet); principles and practices of record keeping including bookkeeping; telephone etiquette; and safe work practices.

Understand and apply records management rules, regulations and policies; understand safety rules and regulations and work safely; maintain records and files; operating blueprinting, drafting and photographic copying equipment; maintain historical records; understand and carry out oral and written instructions; maintain effective relations with the general public, District employees, vendors and service representatives; operate personal computer, scanning equipment, printers; perform skilled and varied tasks related to electronic records; be prompt and regular in attendance; organize documents and categorize accordingly and maintain strictest confidentiality; and work courteously and cooperatively with District employees, and the general public.

Licensing
A valid drivers license issued by the State of California, Department of Motor Vehicles is required.
Language Skills
Ability to read and interpret documents accurately. Ability to speak effectively, work courteously and cooperatively with employees from all areas of the IID. Ability to use telephone etiquette.
Mathematical Skills
Ability to apply concepts of basic mathematics including addition, subtraction, multiplication, and division.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
