EMR Trainer (Electronic Medical Records)

The trainer position resides in IT and serves as a key liaison between information technologies and front line users of the application. The primary purpose of this position is to train, develop, and monitor users to ensure they are at a significant level of competency with the health care applications. The trainer works in conjunction with IT business analysts and corporate business partners to understand not only the functions of the application, but also the core workflows and processes of the business. Trainers will develop the methodology and materials to train a large user base with a broad spectrum of computer experience. This will include the use of webinars as well as onsite training. Although the position is located at the corporate office in Catonsville, MD, the users are located at multiple facilities in different states so the ability to travel frequently will be essential.

Application Knowledge:
1. Be very proficient with the application and have a good understanding of coming changes and how they will impact the users.

Business Process Knowledge:
1. Have a strong understanding of the business workflows and processes.
2. Understand regulations and compliance requirements of the business.
3. Remain current with new regulatory changes and their impact on the business and their workflow

Training Methodology and Materials:
1. Leverage industry best practices and standard training methodologies.
2. Utilize and develop different mediums for training users including but not limited to webinars, classroom training, self guided training materials, leveraging train-the-trainers
3. Responsible for developing and maintaining currency of training materials: training manuals, quick reference sheets, videos, etc.
4. Work with both IT business analysts and corporate business partners to determine priorities for training
5. Leverage the use of a Learning Management System

Training:
1. Responsible for training, monitoring, and maintaining users at a significant level of competency with the application
2. Train both corporate and facility personnel
3. Perform both ad hoc and planned training for users on both current and new functionality.
4. Work in partnership with facility staff development coordinators who handle new employee training to determine appropriate training and support for new users
5. Coordinate the use of facility training class rooms with facility staff development coordinators for onsite training sessions

Communication:
1. Must be very comfortable speaking before a large group of people.
2. Must speak clearly and articulately, and be able to convey complicated information into easily understandable messages.
3. Must be proficient in writing and creating clear and easily understandable documentation used by a broad audience.
4. Must be able to interact effectively with individuals of all levels of the corporate hierarchy.
5. Must have a high level of patience and an ability to work with various personalities

Specific Health Information Technology duties and responsibilities:

EMR Trainers will be responsible for training, monitoring, and maintaining the application competency of the users with the Healthmedx Vision electronic medical record system. Each trainer will be paired with a clinical operations partner overseeing a specific number of facilities and users. Several challenges should be noted:

The user base to be trained is as follows:
1. The user base is significantly large and each trainer will be responsible for the competency of approximately 1,000 individuals
2. The user base is likely to grow rapidly in the near future
3. The user base is located at multiple facilities in different states
4. The user base has a significant turnover rate of approximately 30-35 annually
5. The user base is primarily clinicians and the level of computer knowledge vary greatly. Some individuals have never used a computer.

The EMR application is as follows:
1. The EMR application is extremely complex and is used to support several core business lines: Assisted living facilities (ALF), Skilled nursing facilities (SNF), rehabilitation therapy, certified home health, home support services, hospice, and billing.
2. The functionality within the application changes rapidly with new additions added on a quarterly basis.
3. Functionality is also dictated by state and federal regulatory changes

Prior knowledge of any of the below clinical business lines processes is beneficial but NOT required at time of hire:
Process knowledge specific to skilled nursing should include, but not be limited to, the following: Medicare Minimum Data Set (MDS 3.0), resource utilization groups (RUGs) and how they impact reimbursement, 672/802 reports, electronic Physician order entry (ePOE), electronic medication administrtaion record (eMAR), electronic treatment administration record (eTAR), clinical assessments, activities of daily living (ADLs), care plans, and some general understanding about Medicare Part A reimbursement.

Process knowledge specific to rehabilitation therapy should include physical therapy, occupational therapy and speech therapy. Knowledge within each discipline should include, but not be limited to, the following: therapy programs, treatment evalations (problems and goals), updated plans of care, progress notes, treatment logs, daily billing documentation, aggragate rounding rules, Medicare prospective payment system (PPS) and some general understanding about Medicare Part B reimbursement.

Process knowledge specific to certified home health and private duty home support should include, but not be limited to, the following: Medicare OASIS assessment, home health resource group score (HHRG) and how they impact reimbursement, health insurance prospective payment system (HIPPS) rate codes, 485 assessment, care plans, resource scheduling.

Process knowledge specific to Hospice care should include, but not be limited to, the following: understanding of the four levels of hospice care and their reimbursement (routine home care, continuous home care, inpatient respite care, general inpatient care).
