Position Summary Position Summary The EAM Associate?s primary responsibility is to manage data in SAP?s Enterprise asset Management(EAM) module. This position is the main point of contact in procurement, fixed assets and project systems and works closely with business partners, Finance, and Financial Shared Services (FSS). The position will be responsible for managing the creation of projects and purchase orders in SAP, accounting for fixed assets, and resolving vendor payment issues. Position Description Position Description 1. Projects and Purchase Order (PO) Processing 50% ? Set up all projects in SAP and work with the business to identify correct project definition. ? Work with FPA and buyers to enter data in SAP and complete the PO process within 48 hours when a request for a PO is made for ordering goods and services. ? Field questions from the business and vendors and act as main point of contact in all items related to POs. ? Request article/item set-up to FSS and ensure the correct selection of merchandise codes for all articles. ? Assist the business in filling out the PO Approval Form (POAF) in Sharepoint Site and provide and support the implementation of business solutions by building relationships and partnerships with key stakeholders; identifying business needs; determining and carrying out necessary processes and practices; monitoring progress and results; recognizing and capitalizing on improvement opportunities; and adapting to competing demands, organizational changes, and new responsibilities. ? Maintain records in accordance with Wal-Mart?s record retention policy for invoice and purchase order backup documentation. ? Maintain process documentation in procurement and projects systems. 2. Fixed Asset Reporting 30% ? Provides customer service for Accounting by responding to business, Finance, and FSS inquiries regarding fixed assets transactions and provides information to customers on data relationships, policies, procedures, and potential areas of concern. ? Ensures compliance with Company procedures/policies, Sarbanes-Oxley (SOX) documentation and generally accepted accounting principles (GAAP) guidelines by interacting with the SOX Manager to assist with the walk-through, testing, and evaluation of controls for effectiveness and accuracy; and executing specific controls to ensure proper valuation and existence of fixed assets. ? Demonstrates up-to-date expertise in fixed assets accounting and applies this to the development, execution, and improvement of action plans by providing expert advice and guidance to others in the application of information and best practices; supporting and aligning efforts to meet Customer and business needs; and building commitment for perspectives and rationales. ? Conducts Fixed Asset accounting functions in SAP by recording Fixed Asset additions, transfers, and retirements; reviewing exception reports to ensure integrity between the sub-ledger and general ledger; preparing journal entries for month-end close; comparing actual expense, retirement, and gain-loss information to expected results. ? Track the 5805080 (Project Maintenance ? Capital Expenditure) and 1501035 (Fixed Asset Inventory ? Not in Service) accounts and ensure all paid invoices are tied to appropriate projects in SAP. ? Maintain process documentation in asset accounting. 3. Vendor Management 20% ? Work with FSS, vendors, and the business to resolve discrepancy between invoices and POs and payment issues and close outstanding POs for over 45 days. ? Manage Teamworks business format ?Global Ecommerce PO? by setting up users in PRISM.
