Department

Event and Conference Management (ECM) serves as the key, centralized point-of-contact for incentive programs, conferences, educational meetings, and field training. ECM ensures programs align with corporate guidelines.

 

Job Summary

The ECM Planner will provide end-to-end meeting/event planning, administration and execution of high level/visible corporate events and conferences. The Planner must have knowledge of a variety of concepts, practices, and procedures within the meeting management field. A wide degree of creativity and latitude is required as he/she must rely on extensive experience and judgment to plan and accomplish goals. In addition, the role requires high levels of accountability, aggressiveness, adaptability, professionalism and team cohesiveness.

 

Job Responsibilities Requirements

·         Meeting Management and Source Meetings

·         Consult with clients to identify purpose and parameters of the meeting/event and their expectations and desired outcomes.

·         The Planner requires significant client relationship skills including the executive leadership team (ELT) with the ability to manage simultaneously several programs in multiple stages of the planning process.

·         Provides and maintains program budgets, operational timelines;

·         Design and develop registration websites through event technology tools;

·         Develop meeting/event logistics and update as necessary,

·         Provide critical reporting, partner and negotiate with third party vendors to ensure maximum cost savings, ensure that all applicable stakeholders (AV Corporate Travel, Executive Travel Security, etc.)

·         Have up-to-date information;

·         Execute programs onsite (if applicable);

·         Provide post- program follow-up,

·         Review and reconcile invoices to close out event.

 

 

Assist and/or administer department email boxes, meeting calendar, online data entry, reporting of monthly and quarterly data analysis reporting and assist with crisis management.

 

This position reports to the manager of the department.

 

 

REQUIREMENTS:

 

• Excellent communication skills, including writing, proof reading skills, and speaking.

• Ability to manage multiple projects and work assignments

• Excellent interpersonal skills with high professionalism.

• Ability to accomplish projects with minimal supervision.

• Strong customer service ethic and high expectations for quality.

• College degree and CMP strongly preferred; (8-10yrs) work experience on executive level events can substitute for the degree.

• At least 3 years experience with office administrative management.

• Creative design abilities

• Proficient in Microsoft Office and CVENT knowledge preferred

• Travel – 35 - 40%
