Event Marketing and Travel Coordinator

Working within the Events Department to organize and execute Merrithew Health Fitness involvement in conferences and trade shows globally. This includes participating in pre-event strategy meetings for every show, staffing management, travel arrangements, pre-at-and post event marketing, working closely with the design department on event marketing collateral, and administrative duties prior to event. Responsibilities also include reporting, process documentation and assisting the Sr. Manager, Event Marketing and Sponsorship as needed.

Major Responsibilities:

Marketing:
• Prepare and submit project requests to the Art Department in a timely manner according to deadlines.
• Work with Marketing to ensure that collateral, posters, banners, literature or any special requests for trade shows or other events are prepared and delivered as needed.
• Ensure that the event planning document and calendar are kept current and work with Marketing to ensure that they are made aware of pending deadlines.
• Work with the Sales departments with current equipment pricing and “show specials”.
• Web Support:
o Provide information on all events to the webmaster for inclusion in company Event Listings, broadcast emails, and e-Newsletter
o Update website content into the shows’ website. Validate content with Marketing

Staff:
• Works closely with Sr. Manager, Event Marketing and Sponsorship to create proposed Staff list for each event, utilizing staff from each department and working with instructors, globally.
• Confirm external and internal staff for each event and create staff schedules and Event Detail documents.
• Keep inventory of staff uniforms and work with staff in regards to sizes and quantities for future events.

Travel:
• Accommodations and Flight arrangements – creates reservation in advance of each event and manages rooming as well as releasing of rooms adhering to deadlines. Works with the travel agent to research and book flights for event staff as well as presenters to ensure lowest fare.
• May be called upon to arrange travel for staff outside of the Events Department.

Event Site:
• Travel at least 30 percent of the time both within North America and Internationally
• Attend events to physically set up and tear down displays. Ensure that needed equipment is set up for demonstration sessions and provide technical support in educational sessions
• Reconcile marketing materials ordered with what was received at the event
• Provide support to sales staff and event attendees

Administrative:
• Prepare Pre-Event Planning document for strategy meetings.
• Arrange for staff per diem amounts prior to event and distribution at event
• Communicate with all staff prior to, during and after event
• Ensure that show staff are registered for the event

Skills and Qualifications:
• 2-3 years marketing and/or event marketing experience
• Undergraduate degree preferred.
• Highly organized with attention to detail
• Ability to multi-task with exceptional time management and problem solving skills
• Be able to work well under pressure with tight deadlines and adapt quickly to almost any situation
• Positive attitude and excellent customer service skills
• Superior oral/written communication and interpersonal skills
• Ability to work with a variety of people and develop and maintain good relationships with suppliers/customers
• Ability to work comfortably with technology, including computers and audio/visual equipment Proficient in Excel, Word and Outlook
• Physical ability and willingness to lift and move equipment on a regular basis
• Incumbent is required to have a valid passport at all times to travel as required by the company
