Event Marketing (EM) is one of the most powerful tools available to our firm to enhance our partnership with clients and build new business opportunities. Our conferences and events team provide unrivalled opportunities for relationship building and help differentiate UBS's thought leadership within the investment banking industry.
EM supports the Investment Bank (Fixed Income Currencies Commodities – FICC, Equities – EQ and Investment Banking Department – IBD) in the planning and delivery of these products. We also collaborate with Wealth Management and Global Asset Management on a number of cross-business event marketing activities.
The Conferences Events team manages everything from small-scale corporate days held in-house to large-scale investor conferences in north Asia, as well as town halls and in some cases sponsored conferences. In terms of client events, the team manages large-scale client entertainment activities, from bespoke dinners, receptions and activity days to annual memberships and hospitality around cultural or sporting events.
For conferences and client events, we offer a full service from planning to execution, including researching options, budgetary and sign-off assistance, managing the invitation and response process, looking after logistics such as venue, suppliers, performers, catering, decor, transport, security etc. In addition, we provide resources at the event itself. We undertake all project planning in according with the global strategy and policies, from the initial briefing meeting to execution and completion of post-event reporting and statistics.
The EM Specialist will be responsible for the planning and project management of events (conferences and client events) originating from our businesses, mainly in Hong Kong but also in other locations across the Asia ex-Japan region including China, Korea, Taiwan, and India. The individual will report directly into the Head of Marketing Execution in Hong Kong.
General
- Across both products, the EM Specialist must:
- Check and process invoices for each project undertaken
- Submit project information via the Event Management system or any other process to global and regional calendars for information reporting
- Maintain information flow on events in Asia ex Japan to relevant stakeholders
- Ensure Legal and Compliance requirements are met
- Make site visits where appropriate
- Oversee ordering of bespoke gifts and business gifts
Conferences
- Project lead allocated conferences and seminars within the EM remit taking place in the region.
- Plan and manage conference initiatives:
- Liaise with conference host regarding content, attendees, timing and venue etc.
- Prepare preliminary budget and obtaining necessary approvals, attendee lists, post event reporting
- Facilitate design of the conference material complying with corporate identity and global
standards, liaise with speakers re technical requirements, etc coordinating production and distribution of approved presentation/research/conference material and schedules - Identify and book venues, car/bus transfers, FB, audio visual requirements, invitation design and distribution, registration
Client Events
- Project lead allocated client entertainment events within remit occurring in the region.
- Monitor the markets and keep the business abreast of relevant entertaining opportunities
- Work with Sponsorship, Branding, Corp Communications other business marketing to deliver integrated effective high-profile properties and manage IB involvement in all global sponsorship related initiatives impacting on the market
- Plan and execute these entertainment projects by:
- Ensuring correct authorization is obtained, establish budgets and monitor spend
- Developing marketing material for client entertainment events
- Post-event evaluation and reporting: issuing questionnaires and collating results as appropriate, including attendance metrics and financials

- Patient, able to calmly assess situations and act in the best interests of the team/internal client/firm – manage frustration levels well. Able to step outside contentious situations and be practical
- Enthusiastic approach

- Needs to be fully conversant with Excel
- Excellent logic and problem solving in terms of budgets and reporting
- Able to negotiate with suppliers to achieve best price – but also realize where quality cannot be compromised
- IT literate (applications such as ACCESS and other web based tools)
- Comfortable with creative design processes – managing the creation of collateral from concept through to production
Requirements:
- 5 years conference events planning experience
- Fluency in written spoken English and Mandarin a must
- Knowledge of/background in the finance industry a plus
- Large scale investor conference experience and exposure to financial institutions a plus
