Events & Outreach Associate recruitment

Responsibilities
Reporting to Assistant Director, Senior Events Outreach Manager Japan, the Events and Outreach Associate will be responsible for supporting Team Japan in the planning, communication and execution of a diverse range of outreach activities including teleconference, roundtables, briefings, conference and third party events.
- Provide support for the execution of multi-faceted and complex events (multimedia) around Moody's products and services. This will include sourcing venues, liaising with internal stakeholders and external providers, collating event materials, arranging production and print, monitoring attendance lists, preparing badges, conducting post event analysis and supporting the team on other ad hoc requests.
- Provide support in developing and delivering marketing strategies around outreach campaigns. This will include liaising with product strategy and sales managers to generate target and prospect lists for event attendance, identifying target audiences by sector/region/client/prospect, researching names and inputting details into the prospect database and undertaking calling campaigns to raise attendance at Moody's events.
- Provide on-site support at events, both in-house and externally such as assisting with the registration process.
- Project managing some teleconferences / multi media events, which involves liaising with suppliers and internal speakers, updating the website, managing the registration system, providing assistance during the event and collating attendance statistics.
- Ensuring event data management systems are kept up to date. This will include uploading data, checking data quality, producing reports and summaries.
- Key contact for accounts payable department. This will include tracking invoices, ensuring correct coding and maintaining accurate records.
- Organising, sourcing and coordinating marketing collateral and associated materials ensuring variety, good pricing and high standards. Maintain and support other systems and initiatives as required.

Qualifications
- Bachelor's degree preferably in Finance, Business, or Marketing
- Fluency in Japanese and English is essential
- Working experience in financial industry is advantage
- Former event management experience is not necessary but need to have proven administrative and organizational skills
- Exceptional organizational skills, attention to details and ability to meet deadlines
- Excellent communication skills both written and verbal, including good negotiation skill
- Good interpersonal skills and the ability to build strong professional relationships at all levels with both internal and external parties,
- Self motivated
- Strong technical knowledge of Word, Excel, Access, PowerPoint
- Knowledge on Salesforce, Cvent, or similar event management software is advantage
- Interested in developing a career in Finance, previous exposure to banking, financial market and credit risk would be an advantage
- Prepared to work onsite and out of hours at events as required.
