The mission for the Office of Training Performance Support (TPS) and Bureau of Diplomatic Security (DS) is to provide necessary security-related training for U.S. Government employees and their dependents. TPS also provides training for Foreign Service Nationals and other U.S. Government agencies and DS is ranked as one of the top ten employers for college graduates. Highlights and Responsibilities: Provide administrative support for Director and Sr. Training Advisor and general support to other DSTC offices. Using the DOS Smart system, compose official email/cables to Post, Via telephone and through direct access to executives? emails, establish appointment priorities, make and reschedule or refuse appointments or invitations in coordination with the Director?s special assistant. Proofread incoming correspondence for grammar, spelling and punctuation. Read outgoing correspondence for executive approval and alert writer to any conflict or departure from policies or viewpoints and give advice to resolve problem. Assist Special Assistant with tracking correspondence sent from and to the Directorate. Manage SharePoint correspondence tracker. Save signed correspondence to soft-copy and hard-copy files. In the absence of the Director or Senior Training Advisor, ensure that requests for action or information are relayed to the appropriated staff member as needed. Receive students, officials, and visitors. Requirements: US Citizenship. Able to obtain and maintain a DOD Secret Security Clearance. Six years of directly related experience combined with completion of training courses relevant to duties and function of the requirement may be substituted for the degree requirement. Five years working with Excel spreadsheets in formulating financial, scheduling and other data centric information. Five years experience as an office manager or an executive assistant. Ability to plan and coordinate office activities, and research, analyze and apply data. Skill in oral communication to explain pertinent factual information clearly and concisely to a multitude of executives, program managers, vendors and students. Excellent knowledge of grammar, spelling, capitalization, punctuation, terminology, standard processing procedures and formats used in preparing material for correspondence and reports. Intermediate skills in the Microsoft Office Suite and other word processing software packages including SharePoint knowledge management system. Must be able to work independently and track multiple activities in a deadline-oriented environment. Preferred Experience and Education: A Bachelor?s Degree.
