Executive Administrative Assistant
Responsibilities CHS has an exciting opportunity in our Ag Business Division. We are looking for an Executive Administrative Assistant to support the Senior Vice President and management staff of Oilseed Processing, as well as provide support to the department located at our corporate headquarters and our locations in the US and abroad. You must be organized, able to multi-task; detail oriented, and has excellent customer service skills. You must have excellent communication skills, both verbal and written. You will: Provide daily support to management Staff of Oilseed Processing, being proactive anticipating their needs. Handling phone calls, extensive scheduling and calendar management for executives utilizing Outlook. Arrange travel, both domestic and international, including international documentation requirements. Follow CHS travel policies procedures to make arrangements, confirm details, and create itineraries. Meeting / event planner for onsite off site meetings Quarterly all-employee meeting for Oilseed and special events. Arrange video web conferencing, and webinars as needed Arrange facilities, logistics, and catering Distribute invitations, meeting information agendas, and/or other meeting correspondence Schedule and arrange luncheons and dinners for suppliers, customers, and employees as needed Assist with travel to the broader Oilseed organization as needed Assist in preparation of Board and Sr. management presentations, PowerPoint presentations, personnel announcements, and customer/supplier presentations correspondence. Work with sensitive material; maintain highest level of confidentiality and integrity. Proactively develop relationships with key internal/external stakeholders, customers, and suppliers. Handle administrative details and routine issues independently, and take responsibility for completing these on time with high quality. Manage supplies and supply invoices for the division Process expense reports, maintain organizational charts and phone lists Process non-exempt payroll. Manage distribution of industry publications Able to travel occasionally if needed Assist other assistants as needed. Basic Qualifications Associates degree 10 plus years of experience supporting an executive officer Proficient with MS Word, Excel, Outlook, and PowerPoint Proficient with video and web conferencing Proven ability to manage up to 10 different projects on a daily basis Demonstrated commitment to quality and attention to detail. Effective interpersonal skills, with ability to interface with personnel at all levels. Proficient with Microsoft Office Suite, Keyboarding - 70 wpm Preferred Qualifications Experience with Desktop publishing, Adobe Photoshop, and DreamWeaver CHS offers a Competitive Salary.
