POSITION SUMMARY
The Executive Administrator will provide administrative support for Visa’s Client and Employee Communications teams. The position will be based in Visa’s headquarters in San Francisco, California.
RESPONSIBILITIES
This position will involve managing a complex senior executive calendar that includes scheduling meetings and travel, video conferences, trainings (off-site and/or internal), and group events.
Administrative support duties will include, but are not limited to, the following:
- Preparing meeting materials including assisting with the creation of presentations, handouts and other related materials as well as printing, binding and collating of materials for executive meetings..
- Assisting with management of complex budgets and liaise with Accounts Payables, Purchasing, Travel Policy, Finance and Expense Reporting teams.
- At the direction of employee and client communications teams, distributing critical communications to sales teams and employees= groups globally
- Managing corporate e-mailboxes
- Supporting logistics of global employee staff meetings each quarter
- Drafting and typing correspondence, making copies, preparing binders, answering and screening manager’s phone calls, directing inquiries to the proper party within the team, and managing visitors.
- Managing filing, mail, org chart development, and other similar administrative activities.
- Coordinating conference/meeting room set-up, ordering catering, and making logistical arrangements.
- Making travel arrangements (airline and hotel reservations), processing expense reports, managing purchasing cards, and managing procurement of supplies, devices and equipment.
- Facilitating and coordinating communications and administrative procedures across the team, and collaborating with a wide variety of senior administrators.
- Assisting with developing and updating complex PowerPoint presentations, Excel spreadsheets and other documents.
- Providing small-scale project management for efforts such as group recruiting.
REQUIREMENTS
- A Bachelors degree and 5+ years of administrative experience required.
- Must have experience in supporting a senior executive in a fast paced environment.
- Must be proactive and solution oriented, looking for ways to add value and assist the team.
- Demonstrated ability to multi-task and prioritize work with a strong attention to detail.
- Experience in working with confidential information.
- Strong verbal and written communication skills.
- Customer service-focused with an ability to work collaboratively with others.
- Must demonstrate positive and helpful demeanor.
- Proficient on all Microsoft products including Excel, Word and Outlook.
