InCharge® Institute of America, Inc. is a 501(c) (3) nonprofit organization whose employees and Board of Trustees provide oversight and executive leadership to InCharge Debt Solutions and InCharge Education Foundation, in support of their missions to serve the debt distressed, improve personal financial literacy and develop products and services that educate and enable Americans to use credit responsibly in pursuit of their goals.
We are currently seeking an Executive Administrator
Summary of Duties:
The primary responsibility of an Executive Administrator is to provide high level administrative support to the Chief Executive Officer and 3 executives. Duties include the following:
- Make travel arrangements and handle logistics for visitors, CEO and executives
- Prepare expense reports
- Regularly interact with Board of Trustee members
- Manage information requests by the CEO which will vary in complexity
- Ensure CEO’s schedule runs smoothly
- Schedule meetings, answering general queries from Board Members
- Prepare materials for Board Meetings
- Assist in the development and administration of the Administrative Spending budget
- Perform administrative duties to include typing correspondence, answering phone calls, photocopying, mailing, faxing, filing and completion of documentation for state regulatory bodies
- The work is non-routine in nature. The position has been delegated the authority with respect to matters of significance and requires a high degree of independent judgment
- Some travel required
- Any other duties as assigned by management
Education:
· Required: The demands of this position require a skillset that would typically combine formal education and/or work experience that is generally found among professionals with a bachelor’s degree and like number of years professional work experience.
· Preferred: Bachelor’s degree
Work Experience:
- Required: A minimum of 5 years of previous experience supporting a CEO or company president. Strong Microsoft Office skills to include Visio, Excel, Power Point, Word and Publisher
Other Requirements:
- 7+ years of previous experience in an Executive Administrator’s role
- A high degree of organization and professionalism required
- Excellent time management skills are critical
- Able to handle confidential information appropriately and with discretion
- Must be able to handle projects with accuracy and expediency
- Must possess the ability to properly set priorities and meet deadlines
- Excellent written and communication skills
- Excellent telephone etiquette
- Excellent Customer Relations skills
- Proven ability to work well with all levels of the organization, as well build and maintain a positive relationship with Vendors
- Appropriate use of discretion and the ability to maintain confidentiality of sensitive company information.
- Must have a valid driver’s license and maintain a safe driving record
