Qualifications:
GENERAL FUNCTION
This position will be responsible for providing administrative and sales support to the VP of Sales, GM of the Ceilings group, Business Unit Controller and support for Sales reps throughout North America. This position will also be responsible for coordinating the administrative functions of Strategic National Accounts, International Sales, Project Quote and Tracking.
DUTIES AND RESPONSIBILITIES
Prepare and/or process correspondence, reports, forms, etc. on own initiative or from verbal or written instructions, involving confidential information dealing with budgets, product development, pricing, contracts, agreements, customers, etc., and assemble information needed to accompany correspondence, relieving management of routine matters.
Develop and maintain databases; develop accurate data and information from departmental records or obtain from others or a variety of sources, including the internet; consolidate material and prepare reports, reference materials, etc. for use by others or from which management and/or others will make decisions.
Schedule and coordinate appointments, conference calls, various meetings, training sessions, and events on and off site, arranging hotel and meeting facility accommodations, meals and refreshments, air and ground transportation, dinner reservations, and assembling required materials.
National Accounts: establish internal contact for all Ceiling National Accounts. Monitor programs and report activity to VP Sales and to RSM's.
Liase with and provide assistance to internal and external customers, answer and screen incoming telephone calls, handle routine inquiries and requests for information, reports, documents, etc. and refer callers to other personnel as appropriate. Place calls as needed and/or as requested.
Create professional and effective customer and management PowerPoint presentations.
Prepare GM’s expense reports and coordinate all travel. Maintain GM’s calendar to ensure availability for meetings is reflected accurately.
Audit and process invoices assuring accuracy, account coding, procedural adherence, and resolve discrepancies.
Ensure all sales representatives have access to CRM system and assist in any inquires.
Develop and maintain electronic and hard copy filing system for correspondence, records, files, reports, etc. for various division personnel, including GM files, confidential materials; revise filing systems as requirements change to assure that retrieval of a diversity of reference materials meets division needs. Retain/purge files at year-end in accordance with company retention policy.
Order office supplies and stationary for department and division personnel, assign proper account coding, and maintain stock. Open, review, sort, and prioritize mail directed to various division personnel and take appropriate action to dispose of those items that are routine or of a repetitive nature.
Make arrangements for or handle department mailings, post management's outgoing mail and ship packages.
Process all Ceilings rebate forms for employees and distribute to appropriate HR personnel for reimbursement.
Responsible for company cell phone devices in regards to orders, plan changes, and plan management.

Must be able to respond to senior management requests timely and professional. The ability to respond to customer inquirers that may or may not have financial impact.
KNOWLEDGE
High school education or equivalent. Associates or bachelor’s degree in business or marketing preferred. Requires 4 to 5 years of progressive business experience requiring the use of a computer and Microsoft Office applications, including Word, Excel, PowerPoint, Access, and Outlook, typing, filing, record keeping, and secretarial administrative skills. Must be able to work with some degree of independence and self-initiative, handle multiple priorities simultaneously, work well under pressure, demonstrate poise, self-confidence and mature judgement. Must have ability to handle people tactfully and effectively at all levels of management and be alert in responding to requests.
