Executive Assistant 1 recruitment

The Executive Assistant will provide advanced administrative support to Managing Directors and Directors in the Legal Division of CME Group. Specific responsibilities will include:

• Create documents, presentations and spreadsheets in Microsoft Office
• Review clearing and financial information for accuracy and consistency and prepare documents for presentations, meetings and general distribution
• Coordinate internal and external meetings for the division
• Coordinate food, audio/visual and teleconferencing, including initial set-up and follow-up during and after the meeting
• Schedule international and domestic travel for Directors/Managing Directors
• Prepare expense reports in PeopleSoft as well as tracking and updating all expenses for department ledger and monthly forecasting
• Answer incoming calls in a professional manner and direct calls as necessary to the appropriate resources
• Gather data for ad hoc reports/analyses
• Assist with various tasks contributing to office organization, productivity and efficiency, including ordering supplies, tracking attendance, processing mail and updating division calendar and contacts

Required
• High school diploma, Bachelor’s degree strongly preferred
• 1-3 years of administrative experience in fast-paced environment
• Proficiency in Microsoft Office—Visio and PeopleSoft skills preferred
• Must be flexible with start and end time
• Must demonstrate excellent written and verbal communication skills
• Must possess strong organizational skills and be a team player
• Previous budgetary responsibilities preferred
