The role of Executive Assistant will provide administrative support to the UK Legal team, based in State Street's Canary Wharf offices.

Duties will include:
• Extensive diary management - proactively schedule and coordinate time including anticipating requirements and making the necessary arrangements (e.g. conference rooms, audio/visual equipment, presentation materials). 
• Understanding of business needs to effectively prioritise conflicting appointments.
• Compilation and formatting of reports and Powerpoint presentations for various high level meetings and executive committees.
• Assisting legal counsel by preparing first draft agreements from our templates
• Coordinate timely and effective communications across Legal teams in UK.
• Establish and maintain files and records including highly confidential material.
• Answer and screen telephone calls to determine resolution with accurate message taking.
• Schedule and coordinate a frequent global travel schedule.
• Expense, credit card and invoice reconciliation.
• Arranging meetings and conference calls, including scheduling of regular recurring meetings.
• General administrative duties supporting the UK Legal team.

Liaising daily with our senior business partners and stakeholders is a key element of this role therefore the ideal candidate needs to be someone who is comfortable dealing with Senior Management and who can offer a consistently high level of service to our stakeholders.

 This role would suit a candidate with previous experience in working as an Executive Assistant and team administrator within financial services.  The ideal candidate would be someone who has strong communication and interpersonal skills and interacts professionally and confidently with all levels of the organisation.

• Extensive previous experience in providing administrative support with demonstrated knowledge of organisational methods and practices.
• Technical knowledge: Intermediate Microsoft Word, Outlook, Excel and Power Point.
• Ability to prioritise a varied and busy workload.
• Ability to exercise diplomacy and discretion at all times.
• Takes a high level of initiative
• Works independently and with minimal direction/oversight
• Works calmly and efficiently under pressure and deadlines
