We are currently seeking an Executive Assistant to join our Corporate Services Solutions team for or Singapore office. This role will provide full executive administrative support to our Singapore-based Managing Director (“MD”), and work with team members in the Asia Pacific region.
RESPONSIBILITIES:
- Provide confidential administrative support to MD.
- Full diary coordination for MD, including intense meeting arrangements, liaising with internal and external administrators/ PA’s, clients and other parties.
- Coordinate intense travel arrangements for MD.
- Coordinate and edit Powerpoint presentations.
- Schedule and coordinate conference room bookings, and meet and greet guests.
- Coordinate external and internal event management, including sourcing and booking venues, collation of participation lists and related material, preparation and distribution of documentation and invitations, support for Webinars, and liaison and follow-up with team members through to completion of event.
- Process invoices and expense claims.
- Liaise with local and regional team members on day-to-day administrative matters.
- Provide administrative support and cover for team members.
- Other ad hoc projects and duties as advised by reporting manager.
DESIRED EXPERIENCE AND QUALIFICATIONS:
- Minimum Degree holder, and/ or with at least three years’ proven relevant working experience in a multi-national organization. Must have excellent communications skills and is familiar with protocol in communications with top-level executives and related parties.
- Able to work independently, and is a team player, with excellent interpersonal skills.
- Detail-oriented, with excellent organizational skills and a strong sense of job ownership.
- Adaptable, proactive, and possess a positive attitude and work ethics.
- Proven track-record of meeting tight deadlines.
- Able to multi-task and is results-driven.
- Must be proficient in spoken and written English.
- Advanced skills in Microsoft Word, Excel, Powerpoint, Outlook, and Internet.
- Willing to learn and apply new or revised systems and work-flows.
- Familiar with event organizing preferred.
- Flexible with working hours to meet deadlines for tasks and projects.
