Executive Assistant (6 month contract) recruitment
EA Responsibilities:
• Extensive diary management for the Head of IT including co-ordination of meetings and conference calls with internal colleagues and high profile regional clients; maintaining daily activities.
• Liaise with departmental heads, regional management teams and regional assistants to ensure the necessary briefing information is prepared ahead of all meetings and provided in a timely manner. Tracking of action items where necessary.
• Provide confidential personal support to the Head of IT as required.
• Using initiative to complete tasks to avoid the unnecessary involvement of the Head of IT.
Office Management responsibilities:
• Work with the Chief of Staff for IT in all matters concerning on boarding and contract management for external staff in Australia.
• Coordination of all desk moves; on boarding of new joiners; induction and training of graduates and interns.
• Deal with all general office management requests such as aircon; stationery; coordination of recruitment requirements with HR.
• Organise events across the local and regional department – arranging catering, communications, distribution of materials, meeting facilities, audiovisual equipment requirements etc.
Requirements:
- 5+ plus years of executive administrative experience at CIO or equivalent level.
- Any studies related to finance or ongoing improvement of technical skills will be highly regarded.
- Strong prioritisation skills
- Able to work effectively under pressure.
- Build and maintain professional relationships with internal support functions and counterparts across the region.
- Have a ‘can do’ attitude, be flexible and adaptable as the role will require you to work with a multitude of people across various functions.
