Executive Assistant

Responsibilities: Provide advanced, diversified and confidential administrative support. The individual will have significant interaction with high-profile individuals such as Fortune 500 leaders and owners, executive officers of academic institutions and members of the media. The Executive Assistant must be highly competent, motivated and profoundly dedicated to supporting multiple individuals in a fast-paced team-oriented environment. Typical Duties: - Facilitate scheduling of meetings and related logistics including Board of Directors meetings. - Assemble and distribute meeting agendas and relevant collateral materials. - Take, edit and route meeting minutes. - Screen, prioritize and route all written and electronic correspondence, phone calls, and outside requests; direct matters to appropriate individuals for action or follow-up. - Prepare high-level internal and external correspondence. - Conduct research and prepare briefings as needed - Coordinate travel arrangements, including scheduling airline and hotel reservations, and registration for meetings/conferences, and dining reservations as required. - Other duties as assigned. Education, Experience and Skills: - Associates degree or 5+ years of progressively responsible secretarial and administrative experience required. - Proficient in computer software programs and systems including, but not limited to, Microsoft Word, Excel, Power Point, and Outlook or similar email system. - High level of comfort when dealing with multiple people/priorities and an ability to maintain discretion and a high level of confidentiality. - Exceptional interpersonal skills, both written and oral, as well as a high level of sophistication and maturity in social and professional settings. - Must be a self-motivated, highly dependable independent worker with the ability to efficiently and effectively prioritize work and problem solve without direct supervision. - Excellent organizational skills. - Demonstrated ability to develop good working relationships with internal and external constituency groups and to work collaboratively with colleagues in a team environment. - Ability to manage multiple projects and priorities and meet challenging and changing deadlines. - Ability to work effectively with frequent interruptions. - Superb attention to detail. - Positive attitude. - Ability to work flexible hours with occasional weekend and evening work as necessary. - Demonstrated flexibility and ability to adjust to our rapid, ever-changing environment - Project management experience.
