Executive Assistant/Administrative Coordinator

This position is located in Blackwell, Oklahoma, and requires a versatile and career oriented professional. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a small office of diverse people and projects.

The ability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. The ability to coordinate with writers and designers to meet deadlines is essential. Expert level written and verbal communication skills, strong decision making ability and attention to detail are equally important.

The Executive Assistant will:

·         Be responsible for calendar management and ensuring deadlines are met, which requires interaction with both internal and external customers

·         Answer phones and direct incoming calls to appropriate party promptly and efficiently

·         Handle incoming and outgoing electronic communications

·         Assist with preparation of presentation materials and RFPs

·         Edit and proofread miscellaneous documents; review proofs for printing

·         Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner

·         Coordinate and launch hard copy or email campaigns

·         Provide all other administrative and other miscellaneous tasks as needed to support the company mission.

MUST HAVE:

·         5+ years experience supporting at the executive level

·         Outstanding editing and proofreading skills. Potential candidates will be tested on these skills.

·         Ability to correspond with and serve government customers in a professional manner

·         Excellent calendar management skills, including the coordination of multiple meetings

·         Demonstrated organizational and follow up skills

·         Outstanding attention to detail and thoroughness in reviewing projects and proposals

·         Ability to easily handle multiple projects simultaneously while managing tight deadlines 

·         Professional, polished communication skills.

·         Ability to work cooperatively as a member of a team as well as independently with self direction

·         Experience assisting management with the creation of PowerPoint presentations

·         Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook

·         Experience with status reporting and providing accurate status reports

·         Ability to handle multiple projects, coordinate staff support, and prioritize projects

·         The ability to execute detail oriented projects, including reviewing the accuracy and completeness of all printed materials such as tables of contents, headers, footers, fonts, page numbering, and formatting requirements

·         The ability to identify editorial errors in spelling, sentence construction, format, and punctuation

STRONGLY PREFER:

·         Support experience in a professional services, sales or marketing environment

·         Experience successfully creating and/or modifying processes

·         Social media, web design or graphic design experience

·         Experience scheduling travel arrangements

·         Bachelor’s degree

This position is a full time, onsite position located at the Schatz Publishing Group office in Blackwell, Oklahoma.
