Description:
Part time, FTC PA/Administrator to 2 Geneva-based, GLG executives (VPs). The individual in this position will report to one of the executives s/he supports. This position will be responsible for coordinating and executing all areas of administrative support in a fast-paced, results-oriented environment. This position is multi-faceted and will require agility and the ability to understand and work on a variety of tasks and projects simultaneously. We require specific experience and expertise in managing complex global travel arrangements and executive calendars.
This role requires excellent administrative skills, seasoned judgment, professional demeanor, solutions-oriented perspective and the willingness and ability to provide and coordinate the scheduling and support for designated executives. This position supports a global office and requires flexibility and facility to work within cultural diversity. This position will also require excellent communication skills and the proven ability to recognize and maintain confidential information.
Primary Responsibilities:
- Managing complex travel arrangements for domestic international travel across multiple time zones.
- Managing and organizing executive calendars, coordinating internal and external meetings and events.
- Answering the telephone and handling incoming and outgoing mail / communication.
- Providing PowerPoint, Excel, and Word assistance on presentations/documents for the executives supported.
- Providing the first point of contact for escalated issues and provides appropriate disposition or resolution of the issues.
- Preparing expense reports, ordering office equipment and/or supplies, and tracking and coding of invoices.
- Managing special projects.
- Supporting the booking of venues or facilities for training / events.
Qualifications:
- 5+ years supporting senior level executives.
- Advanced skills in MS Office, with specific experience using MS Outlook, PowerPoint, Word, Excel and Visio.
- Excellent written, verbal, and interpersonal communication skills.
- Strong analytical and problem-solving skills.
- Demonstrated high level of professionalism and discretion in handling confidential information.
- Experience managing projects and juggling multiple tasks and works well under pressure and within deadlines.
- Demonstrated organizational skills.
- Experience managing complex global travel schedules.
