Summary:
Our client, Edgewood College, is seeking a professional and polished Executive Assistant. The successful candidate will actively support the mission of the college by working with faculty, staff and students to share in their core values - truth, compassion, justice, partnership and community. This direct-hire position is critical to the President's Office in a variety of confidential and complex administrative functions.
Responsibilities:
- Responsible for efficient functioning of the President's office. Develop priorities and work plans to ensure that office goals are met.
- Coordinate and manage the President's full business calendar and travel calendar ensuring time and detail preparation for all meetings, projects, travel, events and in-office work.
- Work with President to coordinate the annual budgetary needs of the department for the upcoming fiscal year monitor use of President's Office budget.
- Interact with internal and external clients; screen media contacts through the Marketing and Communications office; interact and arrange meetings with College trustees and community leaders; maintain contacts with visitors, national and international guests, job candidates and donors; serve as a liaison with College administrators, faculty, staff and students.
- Prepare and disseminate information, agendas, reports, memos, invitations from the office, transcribing from notes or creating original documents.
- Initiate letters, reports and speeches on behalf of the President; proofread drafts and final copies of all correspondence, reports, etc. prepared for the President's signature.
- Retention and management of records, documents, correspondence, legal or other confidential documents.
- Provide administrative support to the Board of Trustees, Executive Committee and Board Committees.
- Coordinate communication with the Board of Visitors, select donors and community leaders.
- Other duties as assigned.
Qualifications:
- Bachelor's degree and/or equivalent years of experience.
- Three to five years' experience supporting a high level professional.
- Proficiency with MS Office programs and knowledge of SharePoint.
- Ability to take initiative, be proactive and work independently.
- Strong organizational and collaborative support skills.
- Ability to manage and / or monitor multiple projects and tasks simultaneously while remaining flexible to ever-changing priorities.
- Strong editing and proofreading skills.
- Strong and timely communication skills.
- Ability to understand and follow appropriate confidentiality requirements.
- Ability to create and maintain records systems.
- Excellent public relations skills.
