We currently have an opening for an Executive Assistant in our New York Office.
The Executive Assistant will be expected to provide polished, reliable and consistent EA support to the Group Chief Information Officer.
Key Objectives:
- Provide full PA and operational support to the CIO and his Management Team.
- Support and Coordinate Team and Management Events.
- Controlling and gate keeping of the CIO diary and busy schedule.
- Team player work with fellow global colleagues and assistants.
Key Responsibilities Duties:
- To act as Executive Assistant to the CIO, as required to manage and maintain agendas, act as main contact for questions and requests, attend and minute meetings, circulate papers and instructions to attendees.
- To work closely and responsively with the CIO, ensuring operational efficiency in matters including maintenance of electronic diary, address book and contacts; inbox monitoring; and filing systems; dealing with incoming information and communications (telephone, electronic, paper); organisation of internal and external meetings; accurate and timely production of minutes; organisation of complex travel plans as well as ground transportation; management of expenses on in-house GER tool.
- To prepare correspondence, reports, spreadsheets, and presentations for meetings/conferences.
- To work on additional projects as required enabling improved operational efficiencies across the Business.
- Liaise with global Team Assistant’s; assisting them with visitors and support for New York Office.
Job Requirements:
- At least one years previous experience as s senior level Executive Assistant
- Advanced communication skills, excellent standard of written and spoken English
- Strong planning, organisation and problem solving skills.
- Personal Effectiveness – highly motivated, proactive, self starter
- Exceptional time management skills, with the ability to work effectively with tight deadlines.
- High levels of integrity and proven experience of working to stringent levels of confidentiality.
- Strong interpersonal and influencing skills.
- Confidence and ability to retain and develop internal and external business relationships.
- Enthusiasm and willingness to work flexibly
Additional Required Attributes:
- Proficiency in Microsoft Office applications to advanced level, including: Word, PowerPoint, Excel, and Outlook.
- Senior / Board level requirements and expectations of the EA role.
- Communication skills – excellent verbal / written communication and interpersonal skills.
- Task Planning – excellent time management skills and experience of scheduling tasks in accordance with daily review of priorities.
- Extensive global travel knowledge.
- Ability to motive and work unsupervised whilst CIO is travelling globally.
** German language skills highly desirable.
