Executive Assistant / Sales Support
Location: Newark, NJ
Compensation: will match experience
This is a direct hire position.

A leading air express transportation company is looking for a dynamic executive assistant to assist the Senior Vice President and Global Head of Life Sciences Healthcare and the Customer Management team, under general direction and acting on personal initiative.
Assignments generally involve work of a confidential nature and require knowledge of the practices and procedures of the function, as well as company products, policies and programs. Functions include producing reports as requested, coordinating regional and global Sales efforts, developing presentations, assisting with projects, and general administrative duties. Primary function is to support the Senior Vice President and Global Head of Life Sciences Healthcare.

Key Accountabilities
--Support Global Head of Life Sciences Healthcare
--Administrative and secretarial duties as required
--Produce sales reports as requested
--Coordinate activities and hotel bookings
--Process Expense reports
--Travel coordination
--Support conferences Industry related events
--Ordering office supplies
--Manage Calendar
--Track, report, and maintain files including on incentive schemes and performance for
regional GCS sales team
--Assist in global and regional data gathering, developing and maintaining an excellent
data management
--Assist in preparation of annual budgets, customer development plans and Quarterly
business reviews, together with other analysis as needed
--Assist in the generation of weekly, monthly, and quarterly reports as required
--Support sales customer activities
--Maintain contact database, electronic Business card files
--Assist in the preparation of customer proposals, presentations, etc
--New Employee Orientation/On boarding
--Preparation of ad-hoc data and reporting for the GCS group and other Ad-hoc projects

Working hours: 9:00AM-5:00PM

Skills and Qualifications (Education, Experience, Skills)
--Bachelors with a minimum of 4 -6 years experience secretarial related administrative experience at a Senior Management or Executive level
--Excellent PC (MS Office Applications incl. PowerPoint, EXCEL and WORD) and typing skills.
--Excellent verbal and written communication, and presentation skills
--Strong planning and organization and analytical skills
--Experience in working with a team of account managers and senior sales management preferred
--Understanding and knowledge of Logistics Industry preferred
--Preferred knowledge of DHL networks or systems
--Willingness to travel within and outside the US to organize meetings and conferences.
