Executive Assistant Job in Noord Brabant Netherlands
We are looking for a service-minded and hard working executive assistant for a international company in Den Haag.
Functie
- Providing a high level of executive administrative support to the Executive Services Unit
- Organizes office operations and procedures for the efficient flow of work within the Executive Services Unit.
- Establishes and maintains effective working relations with a wide spectrum of employees, officials and the general public.
- Implements procedures for schedules and coordinates the processing and maintenance of record keeping and filing systems.
- Composes and types general correspondence as required by the Unit/Supervisor. Handle strictly confidential information in the most ethical/confidential manner.
- Check deadlines on incoming requests to ensure office work continues to flow smoothly.
- Coordinate and finalize accommodation and transportation arrangements for AOC MD, Corporate Management and Executive Management and others, as required.
- Prepares or checks the preparation of meeting sites in advance of meetings, resolves last minute problems, tests required audio-visual equipment, inventories required materials and supplies.
- Follows up on operational details throughout and after the meeting, resolving problems to assure a smooth running, professional, high quality meeting for the attendees. Maintains accurate records and accounting of meeting expenses.
- Maintains appointment calendar, resolves schedule conflicts, and schedules meetings as directed.
- Coordinates planning and logistics for business trips, conferences and large meetings, ensuring that all arrangements are complete and of acceptable standards.
- Receives visitors and phone calls, tactfully determines the nature of the call, and refers to appropriate individual or handles the business personally.
- Maintains organized filing system for the executive's correspondence, files and other records.
- Performs other administrative and support duties as directed by the executive, manager or director
- Opens, reads and prioritizes incoming mail.
- Verifies invoices and process accounts for Corporate Management and others, as required.

- 5 years of high level administrative experience in supporting executive management with two years at a more senior or corporate level support, is required.
- Must be able to communicate and comprehend accurately, clearly and concisely in English. Polished telephone etiquette.
- A team player with excellent planning and organizational skills, efficient work ability, flexible attitude, and attention to detail.
- The ability to juggle multiple tasks simultaneously and ability to exercise initiative and judgment, in the performance of complex, confidential and difficult duties.
- Must possess strong work ethic and be able to adhere to company work hours, policies and standard business etiquette.
- Familiarity with and sensitivity to the history, culture and religion of the Middle East preferred.
- Ability to work on strict and short deadlines; able to set priorities and deal effectively with shifting priorities
- Fast and accurate typing ability. Proficient in MS Word, Excel, Access and PowerPoint in the Windows environment

Functie eisen
- Experience of working in an international organisation
- Preferably MBO+ or HBO education and relevant experience
- Fluent Dutch and English
