Executive Assistant Job in North Sydney 2060, New South Wales Australia

A superb opportunity exists for an Executive Assistant that would be responsible for providing secretarial and administrative support to the General Counsel/Company Secretary. This role will extend to providing administrative support to the wider executive management team where appropriate.

Supporting the General Counsel/Company Secretary your duties will be;
* Managing all incoming communications (email, mail, telephone) and responding on their behalf when required
* Knowledge of current matters and projects impacting General Counsel
* Filing and keeping files up to date and in order - both electronic and hardcopy
* Travel co-ordination
* Typing amendments to various agreements, formatting, maintaining agreement registers, preparing document execution requests, status of confidentiality agreements and management of administrative requirements with respect to transactions managed by the General Counsel
* Prepare draft annual schedule of board meetings and maintain/manage schedule of board papers/delivery instructions
* Drafting and finalise board agendas in conjunction with Company Secretary
* Draft minute template before each board meeting based on board paper resolutions and follow up on action items if requested
* Regular correspondence with Board of Directors
* Booking meeting rooms and catering for board meetings
* Manage the printing, binding and distribution of board papers
* Assist with presentations as and when required
* Manage corporate records/filing/maintain company registers with ASIC
* Lodgement of ASX/NZX Announcements in accordance with existing policies
* Maintain company policies/procedures manual
* Upload ASX Announcements to the Company's website and send to subscriber base
* Amendments to the website as requested
* Conduct Oscar search's when required
* Liaison with Link and other external providers when required
* Management of the Annual Report and Notice of Meeting/Proxy process in line with agreed annual timetable, including liaison with external providers
* Co-ordination of the AGM venue, layout and other administrative functions to ensure the event runs smoothly

Some of the key skills and knowledge required to meet the performance requirements of this role;
* Previous experience in a similar role with exposure to the company secretariat function
* A high regard for confidentiality
* Excellent organisational and time management skills
* Ability to handle pressured situations and to deal with competing priorities
* Advanced Word, Powerpoint and Excel Skills
* Excellent written and communication skills
* Ability to understand key business issues and priorities impacting the Executive Management Team
* Ability to follow directions and a desirability to learn the basics of the company secretarial function
