Holloway Schulz Partners is seeking a professional Executive Assistant for a Real Estate company active in development and management of commercial and residential properties across British Columbia. Supporting the Executive Vice President of the corporation the successful candidate would be responsible for the following:

Job Description:
Role and Responsibilities:
· Be responsible for heavy calendar management, requiring interaction with both internal and external contacts, as well as clients.
· Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner, be proactive on anticipating the administrative and coordinative needs of several departments.
· Prepare agendas, arrange and coordinate meetings as well as catering needs and any other specific requirements.
· Provide general administrative support such as; accurate word-processing by composing and/or editing a variety of documents. This includes many highly confidential correspondence, memoranda, contracts using MS Word, PowerPoint, Excel and other software, photocopying, binding, ensuring materials are ordered and available as needed for presentations, client meetings, organizing offices workflow, creating and maintaining confidential filing systems etc.
· Tracking and maintaining corporate programs through spreadsheets.
· Maintain a well-organized confidential filing system for electronic and paper files.
· Complete necessary expense reports for approval and subsequent handling by Accounting.
· Arrange travel schedule, reservations and itinerary as needed.
· Maintain strict confidentiality and discretion in all aspects of the position.
· Produces HR related documentation (offer letters, leave letters, etc).
· Assisting in data entry, maintaining and ensuring HR records are up to date and accurate.
· Answers front-line, general enquiries, both internally and externally.
· Posts communications to the intranet and other forums as required.
· Opens and distributes mail and correspondence.
· Orders supplies for the department as needed.
· Performs other related duties as required.

QUALIFICATIONS

Skills and Abilities:
• Excellent organization and scheduling skills with the ability to multi-task and use sound judgment and take initiative.
• Excellent calendar management skills, including the coordination of complex meetings.
• Advanced knowledge of MS Office, including Word, Excel, PowerPoint, and Outlook.
• Ability to manipulate spreadsheets, take information in raw form and create presentations and meaningful information formatted for the intended audience.
• Excellent communication (written and oral), and interpersonal skills with the ability to build solid relationships.
• Strong problem solving, prioritization, accuracy and the ability to work with conflicting deadlines and frequent interruptions.
• Ability to interact and work confidently with others at all levels.
• High standards of ethics and confidentiality to handle sensitive information.
• Ability to analyze information for process improvement.
• Ability to interact and work confidently with others at all levels.

Qualifications and Experience:
• Minimum 7 years work experience
• Minimum 5 year's experience supporting the administrative and coordination needs of executive level management
• Experience and preference working in a fast paced, professional, team environment
• Business Diploma required, Bachelor's degree (preferred)
• Strong skills and experience in MS Office required, ability and desire to learn new systems and software
