We currently seek a talented and experienced Executive Assistant for our Support Services department. This position requires attention to detail, great organizational and analytical skills. Overview of Responsibilities:
- Assembles and handles highly confidential and sensitive information. Resolves major issues involving external client service coordination, billing adjustments or special information needs over the telephone or in person.
- Recommends or makes decisions and take independent action following broad objectives on strategic and operational matters affecting a major function within the practice group (as appropriate).
- Maintains calendar of meetings, business trips and upcoming events.
- Coordinates travel arrangements by securing air, hotel and car reservations.
- Creates, proofreads, edits and finalizes documents to ensure accuracy of copy, grammar and punctuation. Ability to prepare TOA/TOC documents.
- Coordinates conferences, meetings, appointments and preparation of materials.
- Creates and maintains filing systems and databases to ensure accurate and efficient retrieval of data.
- Receives and screens telephone calls in a manner consistent with office policy and the preference(s) of your attorneys and/or supervisors.
- Assists practice group leaders and/or business managers in the development of various reports.
- Advises, consults, negotiates or presents issues to others within the Firm in order to gain cooperation and acceptance of ideas and actions.
- Coordinates with other secretaries, service departments and outside vendors (as appropriate).
- Opens, sorts and distributes mail in compliance with office policy and procedure and in the manner specified by the attorneys you support.
- Serves as an information resource on Firm policies and procedures, refers questions to Administration when appropriate.
Knowledge, Skills and Abilities:
- Demonstrated ability to communicate clearly and effectively, both orally and in writing, with executives, attorneys, staff and outside parties.
- Demonstrated ability to provide quality client service to both internal and external contacts, regarding sensitive, sometimes difficult, and confidential matters. Requires tact, poise, diplomacy and discretion.
- Demonstrated intermediate knowledge of the English language, including excellent spelling, grammar and punctuation. Knowledge of a variety of document forms and styles.
- Demonstrated advanced skill in composing, typing and proofing a variety of materials, with continual attention to detail; ability to type a minimum of 70 wpm.
- Demonstrated ability to organize and prioritize work in a dynamic and complex environment to meet deadlines and daily requirements.
- Overtime work may be required.
- Ability to safely lift and carry items weighing less than 25 pounds.
Required Experience:
- The position requires a Bachelor's Degree in a relevant field or an equivalent combination of education, training and experience.
- The position requires a minimum of 12 years of increasingly responsible, directly related, executive secretarial experience, 6 year in the legal services environment, during which the knowledge, skills, and abilities applicable to this position were demonstrated.
