Executive Assistant recruitment
CRT Capital Group (CRT) is a boutique Broker – Dealer and provides securities brokerage and research services to over 1250 institutional accounts with established counterparty relationships around the world. The firm caters to asset managers, insurance companies, pension funds, hedge funds and investment firms with a focus on Equity and Fixed Income securities. CRT was founded in 1989 and employs nearly 300 investment professionals with a wide breadth and depth of industry knowledge.
Due to recent growth, we have an immediate need for an Executive Assistant to support a team of 7 senior department heads from our Sales and Trading business areas. This position will be responsible for managing the day to day administrative tasks associated with this busy group of executives and may additionally be involved in a variety of projects, both small and large in scope.
The primary responsibilities will include:
• Monitoring emails and calendar management
• Scheduling travel – both business and personal arrangements which may be extensive in nature as well as the related expense processing
• Managing and updating presentations as it relates to customer requests and visits
• Maintaining customer spreadsheets and related account information
• Assist with recruitment efforts – liaising with recruiters, booking conference rooms and setting up schedules.
• Answering dedicated phone lines
• Manage personal requests such as holiday events, charitable donations and gifts for special occasions
• Provide back up and assistance to the Executive Administrative Assistant responsible for coverage for CRT’s Chairman and Chief Executive Officer as well as other various projects as it relates to CRT’s executive office
Qualifications:
The ideal candidate will have at least 5 years’ prior experience in an administrative support function, preferably supporting senior level executives. Candidates must be strong technically, with a working knowledge of Microsoft Office programs (Word, PowerPoint and Excel).
This role will require someone who is extremely well-organized, flexible and enjoys the challenge of supporting a group of executives in a growth-oriented business. The ideal candidate will be friendly, welcoming, confident, assertive, have a strong sense of confidentiality and a team- player. The ability to remain positive, proactive and efficient is key, and excellent written and verbal communication skills are critical to success in this role.
