Executive Assistant recruitment

Key Responsibilities:
Coordinating sometimes very complex travel arrangements (flights, trains, taxis)
Coordinating visa requirements for the Emerging Market countries
Coordinating meetings with clients
Coordinating client events and entertainment
Answering calls on a busy dealerboard
Composing and preparing letters, memos, meeting materials and other internal/external correspondence
Maintaining daily appointment calendars and coordinating meeting
Preparing travel expenses, using Concur
Creating and maintaining files of correspondence, records, etc
Assisting and/or filling in for other support staff
Inputting into and maintaining internal databases and other internal applications
Handling mail, photocopying and faxing material and receiving visitors

Knowledge/Experience:
Strong administrative experience working in a busy preferably banking environment
Experience of handling complex travel arrangements and busy schedules is a must
Prior use of expense and travel booking system is preferable
Previous use of a dealerboard useful

Skills:
Strong interpersonal and relationship building, communication and influencing skills
Ability to handle multiple tasks under pressure
Advanced knowledge of Word, Excel PowerPoint
Good keyboard skills and typing
Good mathematical aptitude
Ability to learn numerous additional internal applications
Planning and organisational skills including the ability to prioritise
Ability to work independently under general instructions
Must be proactive and work on own initiative
