Executive Assistant recruitment
Duties are often of a technical nature and require ample knowledge of the asset management, securities and marketing industries. Other duties may be of a confidential nature and require in-depth knowledge of the organization’s policies and procedures.
Essential Job Functions:
- Anticipate travel needs of Team and independently coordinate domestic and international travel arrangements.
- Manage and maintain complex calendars and coordinate appointments, schedule meetings and conference calls.
- Serve as a liaison and communicator for Director and the client service team, internal and external executives, partners, other senior management, clients, etc.
- Handle all confidential information with discretion.
- Complete extensive and complex expense reports.
- Screen phone calls, incoming mail, publications, and other correspondence.
- Prepare complex reports from various systems as needed.
- Prepare drafts of documents based on knowledge of audience, presenter and applications, and identify appropriate delivery method.
- Coordinate preparation of meeting materials in a timely and accurate manner.
- Enjoy creating processes and structure.
- Prepare special reports under general guidance.
- Assist in maintaining CRM database by entering data of prospective and existing clients. Create and distribute various reports from CRM system to assist Director in compilation of data.
- Handle a variety of special projects as they are presented.
- Be willing to take care of mundane tasks when necessary.
- Handle Director’s occasional personnel tasks.
Job Specifications:
- Extensive knowledge and understanding of the Firm’s products, resulting in deeper work activities and ability to anticipate needs.
- Possess a high degree of proficiency with MS Office products including Word, Excel, Access, Power Point, and Outlook.

Education/Experience:
- A.A.S. Degree preferred in Secretarial Science plus five (5) years experience as an Executive Assistant.
- Industry experience a plus.
- High School Diploma or equivalent plus seven (7) years experience in an Executive Assistant position.
